Job Description Summary
This position assists the manager of event services by assigning both internal and external events to event coordinators for completion of arrangements and billing. Â Responds to external client inquiries. Acts as an event coordinator for events in Perelman Quadrangle. Â Reports to and receives direction from the manager of event services.Â
Assists in supervising four full-time support staff positions (event coordinators), by making daily event assignments, in order to maximize productivity in finalizing arrangements for event services in VPUL
Assists Manager of Event Services by responding to potential clients inquires as they are received.Â Under established guidelines, finalize contractual details for any event secured after discussion.
Finalize event details and contractual agreements with external clients.Â
Act as event coordinator for various events, by assisting clients in navigating the reservation system with details in reference to their planned events in Perelman Quadrangle, as well as various locations throughout campus.
Determine and make special event arrangements in such areas as audio-visual equipment, room setups, catering, furniture rental and staffing needs. Alert the Manager of Event Services and other relevant staff when events require special attention or supervision.
Act as back up to the Manager of Event Service when need or in that personâ™s absence.
Act as back up to Scheduling Coordinator as needed or in the personâ™s absence.
As a member of the VPUL Event Services team, assist with event preparation and program initiatives as needed
Required to work flexible schedule to supervise Homecoming, graduation, convocation and other University events.
May be required to wear appropriate clothing.
Performs additional duties as assigned.
Bachelorâ™s Degree required.
Two to three years of experience in event sales, planning and hospitality management.
Proven ability to supervise full-time staff members and to assume work scheduling.
Demonstrates initiative and self-motivation as well as ability to work independently and communicate effectively.
Strong customer service orientation and interpersonal skills necessary.
Ability to organize and maintain a large amount of information required in daily performance of assigned duties.
Working knowledge of Windows 10 as well as Microsoft Office suite of computer products preferred.
Background check required.
Monday-Friday 8:30am to 5pm
Alternative work schedules occasionally required. May be subject to on-call periods.
