The College of the Environment has an outstanding opportunity for an Assistant to the Associate Deans. The assistant provides executive assistant and administrative support to the Associate Dean of Administration and the Associate Dean of Research in the College of the Environment. This is a fast paced, dynamic, and deadline driven environment and draws heavily on project and personnel management skills, analytical skills, problem solving abilities, initiative, priority setting, and juggling multiples projects.The Assistant is a central resource for information about research programs and opportunities within the College of the Environment and supports special projects, as needed, by the Associate Deans of Administration and Research and the Dean of the College. The College of the Environment receives approximately $120M/year in external research funding.Responsibilities: Executive Assistance *Provide executive administrative assistance for the Associate Deans of Administration and Research, including but not limited to: prioritizing and scheduling meetings; sorting and prioritizing mail, snail mail, and phone communications; maintaining online calendars of the Associate Deans; and staffing key meetings and interactions.*Review and respond to inquiries on behalf of the Associate Deans, in their absence serve as their representative.Research Administration *Distribute information about and serve as the resources for external funding opportunities. Assist in the development of proposals as needed and provide guidance on budget and non-fiscal compliance as well as internal deadlines and policies.*Serve as primary reviewer of grant and contract proposals from the College. Involves examining and reviewing proposals for compliance with College and University criteria. Work with unit grant managers and principal investigators to address compliance issues.*Collation and analysis of data related to research programs and projects inside and outside of College and the University of Washington; design of tracking systems related to those data.Health and Safety *Administration and tracking on ongoing College health and safety efforts and special initiatives. May include tracking unit compliance with University health an safety mandates, and regularly reviewing and updating Dean's office health and safety web pages.Special Events *Assisted by other Dean's office staff, work with Associate Deans on the design, scheduling, and execution of events and outreach activities that may include: international delegation visits, high level federal administrator visits, invited workshops and meetings, etc. This may include developing agendas, confirming attendees, securing facilities, and securing permits as needed.Administrative*Coordination of key travel opportunities for the Associate Deans, may include speaking engagements and other public events.*Develop Doodle and Catalyst polls, retrieve voice messages; staff meetings and committees as assigned.*Develop , manage, and maintain files systems for routine documents.*Perform other duties as assigned.As a UW employee, you will enjoy generous benefits and work/life programs. A degree in administration, environmental studies, or physical science or related field is preferred.*Two years of progressively responsible experience in administrative support; demonstrated experience in multi-tasking in a high pressure environment; executive assistant experience preferred.*Ability to handle confidential information with tact, discretion, and diplomacy, and to maintain strict confidentiality.*Excellent written and verbal communication skills.*Ability to research, analyze, and synthesize information and communicate effectively to lay audiences in verbal and written form.Equivalent education/experience will substitute for all minimum qualifications except where there are legal requirements such as license/certification/registration.Desired:*Familiarity with UW's administrative policies and procedures and software systems, including G-Suite and Outlook 365.*Experience in an academic setting.*Experience with web page updating/editing.Application Process:The application process for UW positions may include completion of a variety of online assessments to obtain additional information that will be used in the evaluation process.
