Responsible for the day to day clerical support in outpatient clinics and the clinical administrative team at the Kellogg Eye Center NeuroPlastics Clinic. In addition, the Patient Services Intermediate position entails primary surgery scheduling responsibilities, scheduling patients for surgery as directed by our ophthalmology providers.
Utilize Michart EMR (Cadence) to access patient information and schedule patient appointments.
Monitor referral work queue and schedule referred patients.
Collaborate with allied health staff to ensure proper coordination of services and contribution to patient satisfaction goals.
Assist patients with payment questions, collect payments, co-pays, and past due balances at patient check out, using established department guidelines.
Reconcile clinic cash collections and credit card transactions daily, according to specified clinic standards.
Other duties as directed by supervisor.
Surgery Scheduling Responsibilities*
Work closely with clinical team and clinic coordinator on adherence to surgery scheduling procedures.
Coordinates with other department schedulers to optimize use of service block time at operating rooms across the health system.
Maintain responsibility for MiChart grids.
Manage phone calls from internal and external customers related to surgery.
Schedule patients for surgery and associated appointments, document surgery details, and communicate with interdisciplinary team.
Serve as a representative of the surgery scheduler team/role on various committees or workgroups as needed for standard of care and process improvement.
Develop, along with lead or supervisor and scheduler colleagues, standard of work.
High school diploma or GED
3-4 years of relevant work experience
Knowledge of basic medical terminology

Ensure that patients with urgent medical needs are scheduled in accordance with triage guidelines and clinic schedules adjusted for patient care and clinic flow purposes.
Experience or knowledge in the field of ophthalmology.
Proficient in Excel, Word, Power Point, Google Docs and other programs for reporting of metric data and communicating information.
