The Patient Care Coordinator will work on the Mobile Dental Clinic team within the Department of Primary Dental Care, supporting the School of Dentistry and UCare in our shared mission to provide dental access to UCare members across the state of Minnesota, while providing students with a valuable clinical outreach experience. This position calls for a professional who can multi-task, think proactively and critically, work independently, thrive in a team environment and provide UCare members with exceptional customer service. The Mobile Dental Clinic Patient Care Coordinator manages the day-to-day patient schedule and patient experience. This position interacts with students, staff, faculty and community stakeholders inside and outside the School of Dentistry.
Customer Service (50%)
Present and maintain a professional manner with all patients and community contacts through verbal communication over the phone.
Market and "sell" the MDC services to eligible UCare members.
Respond to patient complaints in a professional manner, while detailing the complaint and informing the patient that one of your supervisors will be following up in regards to the patient's concerns.
Provide mediation between patient appointment needs and scheduling opportunities by arranging language interpreters and transportation services.
Registration and Verification (20%)
Generate and confirm patient appointments for the MDC in axiUm.
Complete the patient registration process in axiUm, including UCare member eligibility and Delta Dental coverage confirmation.
Specialty Appointment Coordination (20%)
Act as a liaison with communities to assist in providing emergency and continuing care for patients when necessary.
Communicate with UCare representatives and supervisors to provide biweekly or monthly scheduling updates.
Track patients that are in need of continuing care to return to the Mobile Dental Clinic for treatment.
Send weekly call lists to Delta Dental to ensure patients are connected to dental homes in their area.
Create recall patient lists as needed.
Manage and facilitate the transfer of patient records to the UCare member's new dental home.
Manage the main email account for the Mobile Dental Clinic.
Ensure patients complete required release of records paperwork, including updating personal information.
Communicate via phone and email with the MDC drivers regarding the patient and site schedule.
Participate in software training as requested by UCare and/or University of Minnesota School of Dentistry.
Assist with general Outreach Division tasks as needed.
Other duties as assigned.
Salary Range: $16.18 to $27.21 USD/hour
All required qualifications must be documented on application materials.
A combination of business college, office skills training, university level education, an approved medical secretary program and/or clerical experience involving contact with the public totaling four (4) years.
Experience to include at least one (1) year of medical/dental clerical experience which must include keyboarding experience and experience interacting with people (i.e receptionist, switchboard etc.).
Demonstrated/documented excellent customer service & computer literate skills.
Proficient in Microsoft Office (Word, Excel, PowerPoint).
Proficient in managing electronic patient records and a daily patient schedule.
Experience using axiUm electronic dental charting software.
Experience utilizing independent judgment to perform a wide variety of tasks in a professional manner.
Experience with prioritizing, problem solving and multi-tasking and performing in a high demanding environment.
Experience using data look-up and data entry functions on a mainframe or PC based computer system.
Experience performing under pressure and handle multiple tasks at one time.
Demonstrated advanced oral communication skills
Demonstrated advanced written communication skills
Extensive experience working with a diverse population and working with interpreters.
Experience with validating insurance information, prior authorizations, and following up on insurance claims is a plus.
Self-motivated with a passion for dentistry and/or health care.
Aware of HIPAA and handling confidential patient records, xrays, and other patient forms.
