Purchasing/Accounts Payable Specialist
Utica College, a small comprehensive college in Upstate New York, is seeking applications for a Purchasing/Accounts Payable Specialist in the Purchasing Office to issue Accounts Payable checks, purchase orders and invoice payments while maintaining confidentiality on all documents issued.

Primary responsibilities include:
ACCOUNTS PAYABLE Must have a good working knowledge of the Ellucian Banner Finance; Match purchase orders, receiving and Invoices; Process invoices to make timely payments. Review invoices for proper pricing and payment terms including all applicable discounts; Research and resolve invoice discrepancies and issues; Process Accounts Payable checks. This includes regular student refund and AP check runs each week, with additional check runs as necessary.
PURCHASING Review requisitions prior to processing purchase orders; Process purchase orders; Work with all departments to ensure the proper paperwork is submitted for timely ordering and payment; Maintain separate “recurring” payments; Verifies W-9 TINwith IRS to create vendors in Banner; Manage local store credit cards use and payments.
GENERAL OFFICE PROCEDURES Answer phones, open mail, Accounts Payable and Purchasing filing, order office supplies; Must have a full understanding of college-wide operations.
Works with supervisor to develop specific goals that support Utica College’s operational plans. This is done at least annually through the annual performance evaluation process, however review of goals will occur throughout the year.
Responsible for working with supervisor and other team members to achieve successful results on all established individual and departmental goals and key performance indicators.
May perform other related duties as assigned.
Associate degree preferred; Experience in data entry in a business setting; Knowledge of accounting and bookkeeping procedures; Strong administrative skills and proven ability to follow up on tasks; Ability to learn UC purchasing policies and procedures.
