Provide assistance to the Professional Staff of The Graduate School in the areas of recruitment, admission, enrollment, academic and student services.Â Reporting directly to the Assistant Director of Admissions and Recruiting, this person will be responsible for the duties listed below.
Advise prospective, new and matriculated students in person or via telephone and email on matters related to admission procedures, academic programs, coursework, graduation and other applicant and student issues.
Â Assist the professional staff with the coordination of support services and communication to Students, Graduate Program Coordinators, Department Administrators and other faculty.Â Has knowledge of the Graduate Schoolâ™s policies and procedures and is able to accurately answer questions.
Assist professional staff with correspondence and coordinate periodic mailings to graduate students.Â Respond to telephone and email inquiries from prospective and current students as appropriate.
Assist in the processing of matriculation forms and permissions (i.e., substitution, transfer, comprehensive exam, thesis, extension of matriculation, repeat of course, leave of absence, etc.).Â Support academic technology function using SIS, admission/advising tracking systems, Slate and Banner.
Assist in coordinating the planning, promotion, execution and follow-up for special events for current and prospective students.
Provide non-technical and student contact support to the Graduate Assistantship program by facilitating payroll processing, and answering student questions.
Provide support for the Graduate Assistantship Program and other scholarship programs.
Assist the professional staff with production of statistical reports (and other periodic reports) on enrollment, admission, Graduate School/graduate program activities.
Serve as back up to other Program Assistant(s) in supporting professional staff.
Participates in activities supporting recruitment, enrollment and retention.
Manage on board and train student workers
At peak times, assist data entry staff with input of information to the SLATE and/or filing electronically.
Provide coverage for other staff members on breaks and lunch hours and in their absence when necessary.

Graduation from an accredited college with a Bachelor's degree
NOTE: Applicants who do not possess the required education may substitute experience on a year for year basis.
NOTE: Applicants who possess an Associate's degree may substitute two (2) years of position-related experience for the remaining two (2) years of education
Minimum of 2 years of experience providing programmatic support and services in a university setting.
Must demonstrate the ability to multitask, prioritize assignments meet deadlines, and support multiple staff/student/faculty request.
An understanding of Microsoft applications (i.e., Word, Excel, PowerPoint, and Publisher), email knowledge, and familiarity of internet resources.
Effective verbal and written communication skills are a must
Salary Range: P16: $42,895.85-$60,350.09
*NOTE: Salaries for internal candidates are determined by the New Jersey Civil Service Commission's formula. Salaries for external candidates are determined up to no more than $48,713.93.
