This position provides administrative and problem solving support to the Department of Biology, Geology, and Environmental Science (BGE); managing the main office and coordinating essential functions to ensure the unit operates efficiently.
Serving as initial point of contact for the department by greeting visitors, fielding phone calls, and assisting faculty, staff, and students.
Maintaining knowledge of current University policies and procedures, and communicating them to faculty, staff, and students.
Initiating work orders with Facilities, Telecommunications, and Information Technology; and coordinating office equipment repair schedules.
Ordering, distributing, and maintaining sufficient office supplies and inventory for departmental use.
Handling FedEx/UPS shipping and billing arrangements for faculty, staff, and students.
Using IRIS to initiate travel requests, process travel expenses, and handle miscellaneous reimbursements for faculty, staff, and students.
Coordinating travel arrangements for faculty, staff, students, and guests.
Providing occasional back-up for the Accounting Specialist.
Assisting the Accounting Specialist with the hiring, training, and supervision of 3-5 students working in the office each semester.
Helping schedule and coordinate Graduate Program events.
Monitoring and scheduling department conference room.
