Western Kentucky University, Division of Extended Learning and Outreach, is seeking applications for a Part-Time Office Associate in Continuing and Professional Development (CPD). This 12 month position is responsible for administrative assistance to the unit and reports to the Director, Continuing and Professional Development. While there are no immediate plans, this position may transition to full-time if workload and funding support this change.
The following duties are customary for this position, but are not to be construed as all-inclusive. Duties may be added, deleted and assigned based on management discretion and institutional needs.
Perform general office duties to include answering phones, document creation and revision, data entry, database management, and filing
Create and/or complete forms and reports
Assist with student registration to courses administered through CPD, including the collection of fees as direct payment and third party payment vouchers
Compose and respond to course/program correspondence
Coordinate record management, retention, and destruction for CPD
Maintain files, create requisitions, and manage the departmental payroll process
Responsible for employment documentation completion for new instructors and student employees
Assist with the scheduling of courses, programs, and instructors
Book room reservations and catering for training CPD programs
Supervise student employees
Assist with special projects
Other duties as deemed necessary by the Director
Knowledge and Skills Considered Essential for Success:
Working proficiency with Microsoft Office Suite programs to include Excel and Access
Excellent demonstrated customer service skills
Valid Kentucky drivers license
High School Diploma or GED equivalent, plus two years of clerical experience
