These collaborative efforts have generated innovative, translational studies in the basic mechanisms of disease as they apply to diagnostic pathology.The Departments of Pathology and Laboratory Medicine has an outstanding opportunity for a full-time Faculty Affairs Specialist. Under the general direction of the Human Resources Manager, the Faculty Affairs Specialist will be required to independently and proactively seek information from a variety of internal University departments, divisions, executive-level individuals, and external organizations regarding a variety of on-going assignments and special projects. This position requires an ability to direct and manage multiple priorities, quickly analyze situations and make sound decisions utilizing effective time management skills, and good business acumen. Creativity and excellent personnel management skills are very important. This position must have a highly effective level of communication with the Chair, Service Leaders, Site Directors, Managers, senior leadership in the School of Medicine, and representatives of other institutions affiliated with the University. This position must have the ability to work very independently to achieve the goals of the department and execute the vision and mission of the School of Medicine. This position would support both, Department of Pathology and the Department of Laboratory Medicine. The Departments are committed to the goals and mission of the School of Medicine and the University. This position will work closely with the HR Manager, Chair(s), Director of Finance & Administration and Department faculty on faculty appointments, promotions and promotion processes, tenure, recruitment, and compensation. Assists and coordinates all required Academic Personnel processes in a confidential and discreet manner for all faculty appointments.Faculty Academic Affairs: (70%)Manage all aspects of faculty appointments, promotions and promotion processes, tenure, recruitment, and compensation. Administers all required Academic Personnel processes in a confidential and discreet manner for all faculty appointments. This individual is a liaison to faculty and staff and represents the Department where appropriate within the School of Medicine (SOM), Harborview Medical Center (HMC), Northwest Hospital (NWH), Seattle Cancer Care Alliance (SCCA) and the University of Washington Medical Center (UWMC). Ensures that hiring, payroll practices, faculty evaluations, faculty appointments, training/compliance requirements and opportunities remain consistent throughout the Department and meet all standards set by the University and School of Medicine Human Resources.Manage recruitment of new faculty including posting advertisements, organizing and providing advice to the search committees and Chair, and scheduling visits according to Departmental and University policy and School of Medicine guidelines; In partnership with the HR Manager, ensure all necessary policies and requirements are met for Workday entry and onboarding.Support department new faculty search committees, including coordination of meetings, documentation, Interfolio postings, interview and travel schedules, and communications.Responsible for implementation of faculty appointments, promotion and recruitment processes with delegated authority from the HR ManagerManage academic appointment process for senior fellows, senior fellow trainees, visiting faculty, visiting scientists, adjunct, affiliate and clinical courtesy appointments; ensure employees have appropriate work authorization through OPT, Visa or EADManage all appointment, re-appointment, and promotions in a way that meets University and School of Medicine requirements and deadlines;Responsible for managing visa application and renewal processes; partner with Administration Business Center (ABC) to ensure all required documentation is acquired and submitted in a timely manner. Includes being a resource to the Department to interpret policy and procedures for all faculty and fellow visa requests; interpret policy and procedures for all faculty and fellow visa requests, ensure compliance with Federal and University policies and regulations, advise faculty and visitors on visa processes and requirements (i.e. selecting best/proper visa option for their particular appointment request), and supervise associated visa issues for faculty appointments, ensuring compliance with University policy and procedures. Responsible for ensuring clinical faculty are in compliance and credentialed through the Medical Staff Appointments offices for UWMC, HMC, NWH, and SCCA.Develop packets of faculty materials and communications for reviewing new appointments, reappointments, and promotions, including making review materials available to voting faculty.Monitor and maintain electronic files of faculty appointment, licensure, outside compensation, annual review, and other documents within the department(s).Managing onboarding and separations in accordance with the University and School of Medicine requirements;Responsible for situations that require early intervention and attention and determine appropriate response, using independent judgment and discretion, bringing in and collaborating with other decision makers as needed.Overseeing the Department of Laboratory Medicine Appointments, Advancement, & Promotion Committee (AAP Committee), including scheduling meetings to meet School of Medicine deadlines and providing accurate and timely information to committee members.Review and advise department faculty and staff on new policies and procedures relating to Academic Human Resources. Overseeing annual faculty merit review processes in the department, ensuring accuracy of voting faculty lists and filing of faculty documents in electronic files.Run Workday reports to ensure all reappointments are processed and communicated; ensure all appointments are extended as needed and in a timely manner.Faculty Human Resources: (20%)Address all issues in a confidential and discreet manner and exercise judgment to solve unusual administrative problems consistent with objectives and policies of the Department, School of Medicine and University and Faculty Code;Review and advise department faculty and staff on new policies and procedures relating to Academic Human Resources;Coordinate faculty annual reviews with the Chair and ensure the receipt of required documentation in advance, filing such documentation in department electronic files.Delegated Duties: (10%)Perform special projects as needed by the department;Perform other duties as required to support the ongoing mission and strategic plans of the School and the department.Manage, lead and participate in process improvement projects.Minimum Requirements:Bachelor's degree in business or related field; at least two years' of high-level administrative experience; equivalent combination of education and experience.Position requires ability to maintain confidentiality of sensitive issues and adhere to regulations concerning maintenance of confidential materials.Ability to work independently and as part of a team.Manage priorities and make independent decisions.Exhibit a proactive, service-oriented manner and ability to deal effectively with a diverse and demanding client base.Excellent interpersonal and communication skills (written and oral).Proficient in Microsoft suite.Ability to communicate in a diplomatic, friendly, yet effective manner with SoM leadership, faculty, staff, and central campus offices.Ability to analyze needs, assess potential avenues, and implement creative solutions to ensure a steady flow of high-quality, high-achieving staff.Highly organized, demonstrate ability to multitask in a consistently fast paced environment in an organized and efficient manner.
