35% Provides skilled secretarial and administrative assistance through the performance of advanced and complex tasks on behalf of the Executive Director. Exercises initiative and judgement in relieving the ED of many routine and administrative tasks. Assists ED and faculty in registration and add-drop matters.Â Schedules appointments for ED.Â Schedules department meetings, including rooms.Â Administers make-up tests for faculty. Makes travel arrangements for faculty and head. Types, processes, and submits documents for travel, purchasing, hiring, class scheduling, addition/deletion of courses, budget, curriculum, administrative, and other forms.
30% ResponsibleÂ for the maintenance and security of the files, personnel, and student files. Maintains a variety of fiscal, administrative, and academic records. Responsible for faculty evaluation reports and security of same. Provides secretarial assistance to all faculty members concerning letters, forms and copying of tests.Â Uses independentÂ judgement necessary to gather information and put projects into action.Â EfficientlyÂ meets deadlines, accurately document processes and reaches conclusions.Â Assists with development of budget recommendations, as well as keeping track of various department accountÂ balances.Â Responsible for compilation of data for budget forecasts, departmental budgets, salary information, and various reports pertaining to department faculty.Â Uses independent judgement in compilation of statistical data in determining possible discrepancies.Â Assists in the development of department policies and procedures.Â Responsible for retrieval, distribution and mailing of all incoming and outgoing mail.Â Orders office supplies and PUF equipment.Â Responsible for security of testing material. Maintains a continuing record of copier usage.
15% Responsible for interviewing student workers or clerical help and making recommendations to the ED. Supervises and is responsible for quantitative and qualitative work of student workers/clerical help. Interacts with departmental faculty members, other university personnel, students, and the public in providing information/referrals, resolving problems, serving as front-line departmental representative, and responding to a variety of needs and requests.Â Assists with Career Day planning and keeps his or her schedule.
10% Maintains and processes travel records and submits for faculty and ED reimbursement in a timely manner. Prepares personnel budget and action forms for appointments and change of status.Â Assists search committees for hiring of new faculty, including, but not limited to setting up and maintaining candidates' files, sending appropriate correspondence to candidates, requesting specific information from candidates (transcripts, letters of recommendation, curriculum vitae), scheduling interviews, making candidate travel arrangements, typing candidate itineraries, processing and submitting appropriate paperwork when candidate has been selected. Processes letters to unsuccessful candidates. Retrieves data from the mainframe (Banner) when required for various statistical reports.Â Performs other related duties as assigned.
10% Handles inquiries and problems concerning students and interacts with the general public. Makes decisions based on departmental and university policy and personal judgement. Keeps abreast of institutional policies about which the ED, faculty, or students may need to be informed.Â Performs other related duties as assigned.
Required Education and Experience:
High school diploma or equivalent combination of education and experience. Four years of general clerical or office experience.
Knowledge, Skills and Abilities:
Knowledge of word processing, spreadsheet, and database applications. Effective verbal and written communication skills. Strong interpersonal and organizational skills.Â
Ability to multitask and work cooperatively with others.Â Ability to work with sensitive information and maintain confidentiality.
