The Administrative Assistant is responsible for secretarial support to the Executive Director of Development for University Initiatives, the Senior Director of Development for the Institute of Public Health, and the Director of Development for University Initiatives.
Assist unit directors with projects as assigned, typing letters and reports, photocopying, mailings, filing, telephone calls.
Produce mailings and generate reports for assigned directors. Assist with ADIS updates and reporting needs.
Assist with scheduling meetings and appointments, calendar coordination, event arrangements, and meeting preparation.
Assist with travel planning, including booking airfare and reserving hotel rooms, compiling visit research, and preparing travel itineraries.
Cross train with other administrative staff. Participate in support staff training and support staff meetings. Sort and prioritize mail.
Other assistance as required by the supervisor and unit directors.
High school plus 1-2 years of work experience, or equivalent combination of education and experience.

Proficient with computers/internet usage and software packages, including Microsoft Office. Good typing and proofreading skills. Good oral and written communication skills. Professional telephone skills and multi-tasking and prioritization skills, with a flair for detail. Team player with pleasant and courteous interpersonal skills for effective interactions at all times, assisting internal and external individuals. Professional, positive, flexible attitude. Works accurately with minimal supervision. Capacity to use online databases and library-related sources of information. Willingness to learn the role of development and the mission of the University.
Associate’s degree or equivalent, knowledge or specialized business training and/or administrative experience within a university setting is preferred.
The hiring range for this position is $15.99 - $16.41 per hour.
