Job Description Summary
Provide administrative support within the Business Office reporting to the Manager of Post Awards Grant Operations. Assist in the maintenance of sound financial reporting for the Department of Cancer Biology and the Abramson Family Cancer Research Institute. Combined the organizations oversee $35-$40m of expenditure annually. Sources of funding include extramural grants, strategic investment funds, gifts, endowments, discretionary funds, pilot projects, etc.
Primary duties to include the collation of reports for review by management team and subsequent dissemination to faculty on designated schedule. Â Generally support business office processes, including support of sponsored programs, operating and strategic investment funds, gifts, endowments, etc. Â Process correcting journal entries and budget journal entries identified by management team. Â Review and approve purchase requisitions in accordance with funding source and policy considerations. Â Participate in the accounts payable function, which includes relieving encumbrances, verifying costs, gathering documentation and researching invoice holds. Â Scan and file files in conjunction with the electronic filing system of the Business Office. Â Assist in data entry across systems that support business office activity. Â Process updates to our chart of account file. Â Provide Â support in scheduling of meetings, preparation of presentations and other related administrative support duties as necessary. Â Handle highly confidential information with appropriate level of discretion. Â Provide backup for hand carry and intramural activity. Review and clear suspense transactions on a monthly basis. Â Update salary grids as payroll cost allocations as requested. Â Provide initial review of reimbursement requests. Â Maintain log of reimbursement requests.
High school diploma and 3 years to 5 years of Accounting/Finance/Business experience or an equivalent combination of education and experience required. College degree or coursework preferred. Knowledge in sponsored projects preferred. Experience working with varied financial systems. Strong background in MS Office suite of products required, with a heavy focus on MS Excel. Strong interpersonal, organizational, and writing skills desired. Ability to maintain confidentiality with respect to highly sensitive data required. Ability to manage competing deadlines required. Flexibility to learn new systems and adjust to new policies/procedures required.
