Rutgers University-Newark, an urban public research university and anchor institution, located in Newark, New Jersey, a city of promise, is seeking an Administrative Coordinator for the Office of Information Technology (OTIS) of the Rutgers Business School (RBS). Reporting directly to the Senior Director of OITS. The Administrative Coordinator provides administrative support to the unit's management team by organizing and coordinating the daily administrative operations and performance of the Office of Information Technology (OTIS) at the Rutgers Business School with campuses in both Newark and New Brunswick. The duties of the Administrative Coordinator includes but not limited to; -Coordinates with management to define, implement, and communicate strategic direction, initiatives, and policies & procedures regarding new and existing technology for Rutgers Business School. -Prioritizes and supervises work, resolves routine conflicts and issues. -Prepares and implements administrative guidelines and procedures. -Provides unit supporting research, analysis, and data for use in project implementation, reporting and decision making. -Prepares, processes, and performs financial and fiscal support functions for the unit. -Helps schedule meetings, set up travel, and arrange and coordinate design and logistics for events. -Serves as primary procurement, human resources, administrative, and project liaison within and outside the unit. -Carries out routine and non-routine financial, administrative, procurement, human resources, and project tasks with occasional review of work outputs by management team. -Works under general supervision, within established work parameters, with few direct instructions. -Performs professional work for the unit that requires knowledge of administrative/office management, financial, procurement, human resources, and project management principles and practices and a thorough understanding, use, and application of these principles and practices. - Provides assistance for both Newark & New Brunswick campuses. - Travels to both campuses and satellite locations is required. Minimum Education and Experience:
-Requires a bachelor's degree in a related field, or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of office administration, work organization, project coordination, facilitation, bookkeeping, and/or report writing principles and practices. -Also requires a minimum of two years relevant experience in an administrative function and computer literacy.
Required Knowledge, Skills, and Abilities:
-Ability to handle multiple responsibilities and competing tasks. -Must have good interpersonal and communication skills. -Strong organizational skills. -Ability to handle sensitive and confidential information.
-Five (5) years' experience in a university setting -Masters of Business Administration -PMP/CAPM certification
RU Marketplace, HCM, ROCS, Guardian I-9, Financial Management (Oracle Cloud), Microsoft Excel, Microsoft Word, Wrike, Basecamp, Microsoft Visio, and other programs as needed.
