The Biomedical Graduate Research Organization (BGRO), a part of the Georgetown University Medical Center , is home to Georgetown University's most robust research enterprise, consistently securing approximately $100 million annually in externally sponsored funding supporting a broad continuum or research from basic to applied translational science. The BGRO Office Administrator p rovides administrative support by performing a variety of duties such as answering phones, opening, sorting and distributing mail and email, and preparing documents, reports and presentations. S/he performs the day to day operational transactions for BGRO Clinical Departments and Centers, providing a broad range of customer service, operational and financial support. Reporting to the Deputy Director of Clinical Research Operations, The BGRO Office Administrator has duties that include but are not limited to:
Provides guidance to customers as to how to best achieve the desired outcome given the University policies and procedures.
Creates requisitions for financial approval after securing supporting documentation, if needed, as well as develops service agreements for the identified contract.
Ensures invoices received by Accounts Payable are receipted.
Tracks invoices to ensure prompt payments by Accounts Payable.
Performs journal entries to ensure the proper reconciliation of expenses when incurred and recognition of revenue when earned.
Reviews procard transactions and expense reimbursement receipts for reporting.
Schedules outreach with customers to address their needs.
Assists with budget to actuals and expense reporting, travel authorization processing, and honorarium processing.
At least 2 years of administrative experience
Detailed oriented, strong interpersonal skills, and excellent verbal and written communication skills
Ability to prioritize and perform multiple tasks simultaneously with little supervision
Proficiency with Microsoft Office Suite
Knowledge of Excel and Workday is preferred
