To provide administrative support of the department’s routine business or academic activities.
Responsible for a variety of administrative duties in the department requiring moderate exercise of independent judgement, initiative, and the ability to make decisions relative to office operations.
Relieves administrators of a wide variety of internal administrative duties and a large volume of decisions which require a thorough understanding of the functions, programs, and policies of the University. Coordinate travel and prepare vouchers for payment and/or reimbursement. Create documents including requisitions/purchase orders (including MavEShop), deposits, and other departmental expenditures. Maintain a Pro-card for office purchases to include all record keeping and compliance issues. Order supplies for the office, maintain copy machine, and pay conference registration for faculty. Keep up with equipment inventory lists and forms.
Maintain time sheets for student workers. Assist the Graduate Advisor with admissions, records, class schedules, and room assignments. Create and maintain files for graduate students throughout their academic program.
Schedule and arrange meetings, place catering orders, and assist with events. Type letters, forms, exams, and course syllabi when needed. Serve as a backup for the front desk/receptionist to welcome faculty, students, and guests as well as answer incoming phone calls. Act as the unit liaison with other departments and with outside agencies. Perform other duties as assigned.
Bachelor’s Degree or equivalent experience with one (1) year upper level secretarial experience or high school with five (5) years of increasingly responsible administrative, secretarial and clerical experience or the equivalent experience.
Knowledge of computer programs used at the University and the ability to adapt to new software. Knowledge in the areas involving office management and administrative procedures. Ability to maintain confidentiality. Excellent oral & written skills.
