The Assistant to the Executive Director of the Women and Public Policy Program (WAPPP) at Harvard Kennedy School (HKS) provides comprehensive support for the Executive Director and manages a variety of administrative and programmatic projects for WAPPP. The position reports to the Executive Director.
High-level Administrative Support
Provides high-level support on all aspects related to Executive Director's role of administration, policy outreach, teaching, and fundraising
Performs a wide range of complex and confidential administrative support duties, including extensive and complex calendar and travel management, travel reimbursements and business expense reconciliations
Organizes and tracks projects and tasks to ensure commitments are met and workflow is appropriately prioritized
Takes the lead on management of website and other communications channels in support of Executive Director's role
Composes, proofreads, edits, and prepares correspondence for the Executive Director
Works with Executive Director on major documents and reports
Prepares Executive Director materials and briefings for all internal and external speaking engagements, media interviews, and meetings
Manages Executive Director's calendar, voicemail, incoming calls, and email
Provides overall administrative support, including coordinating conference calls, organizing and maintaining files and filing system, and scheduling all-team meetings
Assists in implementing Harvard policies and procedures
Serves as point of contact for internal and external constituents seeking to meet with Executive Director
Greets and assists visitors to the WAPPP suite and triages messages received on the WAPPP main phone line
Participates in logistical support of events, including but not limited to the From Harvard Square to the Oval Office program, chaired by Executive Director
Assists with fundraising activities of WAPPP, including preparation for donor events, drafting of correspondence, reports and updates, and scheduling donor meetings
Participates in WAPPP activities and projects, including but not limited to correspondence and mailings, phone coverage, newsletters, and website updates
Performs library and research work and summarizes findings
As a core member of the WAPPP team, takes on critical project work and provides assistance in support of the mission as needed as well as special projects
This is a 35 hour per week position with occasional overtime on nights and weekends.
This position is a fully benefits-eligible term appointment ending 2 years from date of hire with possibility of renewal.

Minimum of 2 years of professional administrative experience.
Must be able to work occasional overtime on nights and weekends as required.
2+ years of professional experience in increasingly responsible administrative positions preferred.
Bachelor's degree preferred.
Demonstrated proficiency in the use of Outlook and other Microsoft Office Suite including Word, Excel and PowerPoint.
Academic or professional experience that is mission aligned is preferred.
Ability to multi-task and prioritize in a fast paced environment under strict deadlines with minimal supervision.
Ability to synthesize information, problem-solve, and troubleshoot.
Ability to handle confidential information with the utmost discretion.
Attention to detail and accuracy necessary.
Excellent interpersonal and written communication skills essential.
Must be a team player and have a positive attitude.
