The Office of the Provost is looking for an Associate To that will support the staff and operations of the Office of the Provost; this position will report to the Sr. Vice Provost of Academic Finance and Administration. This position will provide high-level administrative and operational support to the Office and will also support the University’s mission and commitment to excellence and diversity in our students, faculty, staff and all other activities. The Associate To will serve as an integral member of the support team and will function as the frontline liaison for the office, receiving all visitors and interacting with university officers, deans, faculty, staff, students, alumni and key stakeholders. The selected candidate will provide high-level targeted administrative support, manage calendars, assist with the planning and execution of various complex events, activities and communications.
Characteristic duties include
Perform responsible administrative staff functions for a designated university official, frequently of a confidential nature, concerning administrative activities of substantial complexity.
Utilize CaRT / Catalyst to execute tasks or provide advice as requested.
Process travel, expense reimbursement, and purchasing card transactions in Concur.
Hire, schedule, and supervise office student workers including approving hourly time via UCFlex.
Review and evaluate proposals concerning operational activities of designated units.
Maintain liaison with designated unit directors and administrators, as well as external offices and agencies to insure conformity to external policies and procedures; offices include but not limited to parking, central purchasing, mail services, etc…
Coordinate scholarship awards, check deposits from fee payments, and process scholarships and fellowships in Catalyst for Editorial Assistants and other Grad School funded programs and all Provostal commitments.
Manage and order office supplies, business cards, building signage, keys, and manage off-site storage needs.
Assist with UC Women Lead and WISE programs.
Perform related duties based on departmental need.
Bachelor's degree and three (3) years’ experience; -OR- Associate's degree and five (5) years’ experience; -OR-seven (7) years’ experience. Degree and experience must be in a related field.
Attention to detail and excellent demonstrated organizational skills are preferred. Also, in order to support and make sound recommendations to designated administrators, preference will be given to candidates with knowledge of University administration at all levels including executive and the Board of Trustees. Experience in a university academic program as well as university office management is preferred.
