Manages the operations of the clinical practice offices and satellite facilities and oversees the staff’s interaction with the facilities we serve. Functions as a member of the physician and management leadership team to assure that all requirements are met. Assures the necessary support to physicians and staff for delivery of high quality patient care.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following:
Supervises daily operations of practice locations, including tasks related to the fulfillment of the practice group’s responsibilities at outside facilities.
Oversees master schedule for all primary care practices including Stratford, House Calls, and satellite offices. Monitors provider requests for time off and insures that granted requests are reflected in the clinical schedule.
Plans and schedules employee tasks and responsibilities to maximize utilization of staff, equipment, clinical space, resources and materials.
Prepares daily staff assignments to insure appropriate coverage of all functions related to the clinical practices. Rotates CMA’s through front and clinical functions to assure that all skills are maintained and staff are cross trained.
Evaluates patient flow and redirects staffing as needed to increase efficiency and reduce costs.
Monitors requests for time off from staff and approves or denies requests as appropriate, to insure adequate staffing in clinical practice offices.
Maintains inventory and orders supplies and equipment as needed, in a fiscally responsible manner.
Demonstrates working knowledge of scheduling, billing and electronic medical records system to assist support staff as needed.
Manages the registration and billing activities at the front desk to insure that they are performed in a timely manner and that the information collected is correct and complete. Generates and monitors associated reports, and develops and implements action plans to correct or improve results.
Prepares billing, scheduling and EMR access requests for approval.
Monitors monthly reports and takes follow up action with staff as needed.
Insures timely and compliant response to requests for forms, records and information through oversight of established workflows regarding same.
Monitors phone activity and response times and makes adjustments to system and staffing as appropriate.
Researches and responds to patient, client and provider complaints.
Oversees special clinical contract and clinical program activities such as Fit for Duty evaluations and clinical trials.
Monitors staff and office environment to insure compliance with all regulatory guidelines (i.e., OSHA, HIPAA, etc.)
Monitors staff compliance with workflows, policies, and procedures to insure consistency in delivery and quality of services provided to patients and support provided to providers.
Under the direction of the Medical Directors of each group, prepares call schedules for circulation and communicates provider coverage schedules to faculty, staff, facilities and answering service.
Makes adjustments to the coverage schedule as directed and communicates them to appropriate parties. Serves as primary contact with answering service, providing monthly and ad hoc updates of coverage schedule as needed. Works with IT to insure appropriate forwarding when non-routine events occur.
Monitors activities and staff to insure that communications between the clinical practice office and outside facilities, providers and patients are appropriate and timely.
Works with staff to develop policies and procedures related to the clinical practice work flows and activities.
Ensures medications and prescription pads are properly stored and that access is limited to authorized personnel.
Trains, supervises, and evaluates the performance and professionalism of the clinical practice staff. Orients new staff to workflows, software applications, and Rowan policy and procedure. Ensures that all staff understand their responsibilities and are accountable to meet them.
Prepares patient experience/satisfaction surveys, orchestrates distribution and collection, and analyzes results. Develops and implements work plan to drive improvement in patient experience.
Works with Director of Administration to ensure that quality measures and related activities for the ACO, CMS, and commercial payers are satisfied. Attends meetings and disseminates tasks related to quality initiatives to staff and providers. Monitors and reports on performance against goal on a regular basis as required by internal and external parties.
Participates in interdepartmental monitoring of admits, discharges and other clinical events.
Expedites and coordinates services such as maintenance, service and repairs, supplies, and mail.
Implements downtime procedures as appropriate for events such as electrical outages, answering service downtime, refrigeration failures, etc.
Makes recommendations regarding the hiring, firing, promoting and/or disciplining of clinical practice staff.
Participates in meetings and committees as requested.
Serves as a backup to Director of Administration for emergent situations and as otherwise needed.

Keeps abreast of all pertinent federal, state and University regulations, laws, and policies as they presently exist and as they change or are modified.
Ensures that the staff are trained and evaluated on their knowledge of and adherence to compliance policies and procedures specific to their jobs

Bachelor’s degree in Healthcare/Business Administration or a related field plus three years of related administrative experience, preferably in practice management. Two years of supervisory experience required in a clinical practice setting. LPN or other clinical credentials preferred. Experience with electronic health records, practice management software, and Windows based programs required. Must be able to drive to satellite offices, facilities, and meeting locations.
