Director of Operations, Track/Field, Cross Country
Responsibilities will include, but are not limited to:
Coordinate all aspects of team travel (airfare, lodging, transportation, per diem, hotel shuttle, etc.) with head coach consult and complete all necessary paperwork such as payments and documentation from the trip
Prepare itineraries and packing lists to be distributed electronically (Teamworks) prior to departure and serve as primary point person for all communications through Teamworks
Organize and reserve team meals during competition, as necessary and process and pay team entry fees, coordinate all team van services
Supervise team managers and coordinate food management, pick-up and delivery, towels, etc. – including being point person during team meals with hotel representative with GA assistance
Order, track, receive, organize and distribute team apparel and equipment with coach designated for equipment
Ensure all team equipment is in working order and order replacement/new equipment as necessary with event coaches
Manage and organize team storage units and maintain team technology with assistance from the graduate students
Travel with teams to away competitions
Serve as contact to External Relations to assist and guide social media strategic plan with assistant coach and graduate students
Work with sports information to schedule team related head shots, studio shots, team photos, tournament shoots and other promotional materials with designated event coach
Work with sports information to create content for use on social media accounts and press releases with assistant coach and graduate students
Organize end of year banquets, including awards purchasing with assistance from graduate students and designated staff, organize team community service events and coordinate team related programming in the area of Leadership and Development
Support coaches communications with donors, alumni and assist with special events
Coordinate and communicate daily practice schedules
Manage recruiting database and produce recruiting materials with coaches
Coordinate official and unofficial visits (airfare, hotels, tickets, dinner reservations, facility tours, etc) with coaches direction and submit all necessary paperwork regarding recruiting visits
Support home meets by making arrangements, manage entries and timing, hiring, paying and monitoring officials, arrange team meals and work with athletics staff
Attend coaching meetings, arrange team meetings and assist with summer camps,
Other duties as assigned
A Bachelor’s degree and 3-5 years of relevant work experience.
Strong ability to collaborate and balance competing needs and priorities.
A strong attention to detail and work ethic.
Excellent interpersonal skills and verbal and written communication skills.
College T&F/CC experience preferred
