The Office Coordinator will assist in the day-to-day operations of the office and Gerety Student Center. This includes providing customer service to visitors of the Office of Student Engagement and the Gerety Student Center, coordinating the hiring, scheduling and training of the Student Engagement Managers and Operations & Program Managers, serving as the assistant to the Director and Assistant Directors, and serving as a resource to all student organizations.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Oversee, with the Director of Student Engagement, the daily operation of the office and Gerety Student Center such as but not limited to sorting and distributing mail daily, maintenance requests, space requests, etc.
Oversee office's social media platforms and marketing, branding and promotional materials of the office, events and New Student and Family programs.
Serve as the assistant to the Director and Assistant Director of Student Engagement.
Provide initial contact to all visitors of the Student Engagement Office and Gerety Student Center and serve as the main contact for all inquiries (e.g. Answer phones, direct calls as necessary, and respond to office email accounts and social media messages)
Hire, train, supervise, manage, and evaluate the work-study employee positions (Student Engagement Managers, Mascot Position, and Operations & Program Managers).
Maintain inventory of Student Engagement supplies and equipment. Sign out equipment and order supplies as needed.
Plan, organize and execute of the office's FNL programs, yearly campus wide programing, and Senior Week Events
Assist in the planning and facilitation of campus events, including student activities programs, New Student/Family Orientation, Homecoming/Family Weekend, and open houses.
Assist with the organization and maintenance of the office's programming materials, resources, and files.
Schedule student events and meetings in R25 scheduling system. Assess event needs and coordinate facilities, catering and security requests as required. Maintain records of all requests.
Develop and implement a marketing plan for the Office of Student Engagement.
Process student organization procurement card requests. Schedule card usage, record spending and disseminate paperwork as needed to appropriate offices. Organize and maintain all paperwork.
With the Director, assist in the oversight of the office's budget, track spending of the Student Activities Office and student organizations. Assist with check requests, credit card requests and transactions, contracts and purchase orders for events.
Serve as a member of the Activities Funding Board Committee
Monitor Seahawk Connections (A Collegiate Link product).
Point of contact for digital signage for student organizations and Office of Student Engagement.
Attend weekly operations meeting on behalf of the Office of Student Engagement.
Serve on the Orientation Committee
Occasional evening or weekend hours may be required.
OTHER DUTIES AND RESPONSIBILITIES:
Performs other duties as may be assigned by the Director of Student Engagement.
LICENSES, TOOLS, AND EQUIPMENT:
Valid driver's license required.
High school graduate or equivalent is required. Strong interpersonal skills. Ability to supervise work study employees and student volunteers. Ability to work with diverse populations and in a high pace environment. Strong oral and written communication skills. Proficient in social media, online promotion and marketing. Sound organizational skills with attention to detail. Ability to work independently without constant supervision. Familiarity with desktop publishing, word processing, database maintenance and MS Office products.
This position is 10 months (months off: December and July)
