The Honors College is a certificate program that can be paired with any major without adding extra classes or extending time to graduate. Classes in the Honors College are seminar-style, meaning that they are based in reading, writing, discussion, and critical thinking. This unique class format fosters an intellectual climate centered around democracy, diversity, civility and academic excellence. Members of the Honors College are engaged with their peers in a close-knit community of students from all kinds of majors and backgrounds, creating an invaluable interdisciplinary educational experience.
To serve as dean's assistant and to coordinate the diverse tasks of college's dean's office, including fiscal, web, data management.
Characteristic duties :
Maintain and reconcile local internal budgets for college programs;
Assist administrators, faculty, and staff with financial processes such as One Card and Travel reconciliation, expense reimbursements, and transfer pay between units;
Coordinate with HR and/or other business support offices hiring paperwork, ePAFs, salary increase paperwork, confirmation letters, employee onboarding and other processes and materials required for hiring and salaries;
Monitor time sheets, compensatory time, payable time, internal work logs and other processes and materials necessary for bi-weekly payments;
Approve time sheets for select employees;
Maintain supply records and procure departmental supplies, including recurring purchases and one-time orders (including desk copies of text books);
Monitor payroll information for errors in monthly and bi-weekly faculty, administrators, and staff.
Advising, registration, and curriculum :
Registration/advising assistance for faculty and staff advisors, including enrollments, withdrawals, schedule changes;
Creation of MyConnect notes;
Pre-registration sheet oversight;
Prepare course descriptions and maintain data for courses and enrollments;
Maintain writing program portfolios;
Coordinate course evaluation distribution and collection;
Assist the associate dean on semester schedules;
Coordinate textbook ordering manually and in Verba; approve text orders.
Work with associate dean on supervision of student employees in the office and computer lab;
Recruit and train student workers and prepare schedules;
Assign most day-to-day tasks and projects of student employees;
Leadership role on Provincial House BEST safety team.
Web, data, and communications:
Supervise and maintain college webpage and handbook;
Coordinate college's social media presence, including Facebook, Twitter, etc.;
Maintain directory listings;
Prepare correspondence for dean and associate dean;
Maintain college data, electronic or otherwise; work with dean to develop new data management structures;
Prepare and maintain minutes at college meetings, such as general staff meetings or leadership council meetings.
Maintain college calendar and coordinate with campus calendars;
Assign offices to part-time instructors and maintain office functionality (phone, computer, supplies, etc.);
Coordinate common building space usage and upkeep (kitchen, Common Room, libraries, main hallways, computer lab, storage rooms);
Submit all college maintenance requests and maintain communications will all necessary parties until request is complete;
Submit all college IT requests and maintain communications will all necessary parties until request if complete;
Provide oversite for faxes, deliveries, mail distribution, copy/scan requests, parking pass distribution, keys and swipe card access, college media library;
Coordinate and/or assist with event planning and catering requests, depending on the event;
Coordinate room reservations and other space requests.
Provincial House reception and general support
Coordinate reception for Provincial House;
General assistance and support to students, faculty, staff, administrators, and guests.
Other duties as assigned by the dean or associate dean.
Minimum qualifications :
An Associate's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary.
Preferred qualifications :
The position is supervised by the Dean of the Honors College
Salary Hiring Range
$15.29 - $20.70 per hour
