The Data Science Institute (DSI) at Vanderbilt is a trans-institutional research and education center that was launched under the Office of the Vice Provost for Research. The institute houses a graduate program in data science, supports data-intensive research at Vanderbilt, and connects with government, industry and non-profit organizations in need of data science expertise.
The Graduate Program Manager will provide administrative and program leadership in the Data Science Master's degree program. The program manager will manage the day to day operations for the Master of Science degree in Data Science. Their responsibilities will include administrative support for the Director of Graduate Education, student oversight, program recruitment, admissions and enrollment management, course management, event planning, and administrative tasks. The candidate will report directly to the Assistant Director of the Data Science Institute.
Duties and Responsibilities
Executes the recruitment plan including outreach, communications, and management of the application process.
Participates in some off-campus travel recruitment activities.
Monitors recruitment pool diversity and timeliness of the recruitment cycle.
Admissions and Enrollment Management
Manages program communication inquiries and applicant questions.
Coordinates the application review process (assignment to faculty, data collection, summaries) and facilitates admissions committee meetings.
Processes final admissions offers via the Slate tool and DSI offer letters.
Tracks offers and financial aid considerations.
Communicates with accepted students regarding enrollment processes and procedures.
Monitors the enrollment processes of students including: international student visas, immunization records, registration process, and financial aid disbursement.
Maintain and update courses in University systems.
Maintain course schedules and room assignments.
Facilitate student registration.
Administer course evaluation submissions and compile results.
Provide administrative support to course instructors.
Coordinate various professional development workshops for students.
Partner with campus resources to provide training for students.
Organize recruitment visit days, new student orientation, and social activities.
Serve as the first point of contact for students in the program.
Process all administrative student paperwork and track program requirement compliance.
Ensure student financial accounts are in good standing.
Communicate critical timelines, deadlines, and important notices to DGE, faculty, and students.
Purchase and expense items related to the MS program.
Collect and analyze data for accreditation reporting and program evaluation.
Coordinate and process student and instructor travel requests.
Maintain website updates and curate social media content as related to the program.
Develop and maintain an alumni database.
Serve as the main point of contact for scheduling as related to the Master's program.
Profile of an Ideal Candidate
Bachelor's degree from an accredited institution is required.
A Master's degree from an accredited institution is preferred.
Experience in graduate program management is preferred.
Experience in student recruitment and admissions is preferred.
Excellent oral and written communication skills are preferred.
Experience in the following systems is preferred (Slate, SkyVU, Oracle, Excel, and Adobe).
