The Paul Meek Library at the University of Tennessee at Martin is accepting applications for an Administrative Support Assistant II. The Administrative Support Assistant II assists with the functional operations and administrative services of the Paul Meek Library Administrative Office (including Library Director's office) specifically with: a) basic receptionist duties (Answer telephone calls, take messages, and respond to requests for information); b) assistance with departmental human resources management (hiring paperwork, payroll, work/labor percentage tracking, leave requests, work schedules); c) maintenance of master calendars; d) assistance with financial and fiscal responsibilities (verification/ reconciliation of billing and invoices for library-based accounts; departmental charges and transfer vouchers); and e) other clerical assistance as needed.
Job duties include: * Verifies that all ordering and spending is properly entered into the appropriate library accounts * Verifies charges made against Library accounts have been properly entered and assists with deposits * Maintains paperwork on departmental charges and billing (transfer vouchers) and compiles data for reports * Assists with the ordering of supplies, equipment, and other related items and the initiation of bids and contracts * Maintains employment paperwork and documentation for bi-weekly and monthly payrolls * Tracks and maintains leave/benefit records/documentation and reconciles requests to timesheets * Maintains records and enters time management, leave, and other information into IRIS * Serves as initial contact with office visitors; screens calls and visitors; and performs general receptionist duties and provides backup support to other Library Administration employees * Utilizes computer applications and library equipment; maintains current knowledge of library-wide procedures, processes, policies and operations. * Coordinates meeting logistics and maintains departmental schedules and drafts, composes, and produces a variety of documents including letters, memos, charts, or newsletters following established protocols and instructions * Records and/or transcribes minutes of meetings conducted by the Director and assists with the editing and distribution of meeting documents
