Columbia Basin College ("CBC" or the "College") seeks an Assistant Registrar (AR) who will be responsible for assisting with the application of processes and procedures that affect all aspects of admissions, registration, residency status and records at CBC. Within established guidelines, the AR will work closely with the Registrar and Associate Registrar on matters pertaining to the awarding of degrees/certificates, Academic Credit for Prior Learning (ACPL) and assist with reviewing Student Records-related petitions. The AR will work closely with staff and faculty to provide appropriate trainings and establish processes that support efficient service to students and which adhere to state and federal regulations. This position reports to the Assistant Vice President for Enrollment Services and Registrar.

Assist with reviewing and conferring degree, certificate and high school diploma graduation applications;
Assist with maintaining and inputting student information into the graduation database system; run reports and process diplomas and certificates as appropriate;
Review court orders, subpoenas and other student records requests;
Assist with reviewing and determining residency status (including determinations for veterans residency waiver and veterans waivers) and verify student degrees and enrollment information;
Provide professional, courteous, empathetic and problem-solving assistance to students, staff and the public regarding institutional, state and federal policies and procedures and other Student Records-related inquiries; respond to emails, answer phone calls and meet with students listed on the Student Records drop-in queue;
Assist with technical support, staff training and management of the Student Management System (SMS) transition and implementation;
Assist with processing 10th day drops, faculty withdrawals, pre-requisite drops and other related admissions and registration processes;
Collaborate and provide training to staff and faculty related to the Family Educational Rights and Privacy Act (FERPA), 10th day roster submission, grade submission, registration and SMS;
Assist with reviewing and processing Petitions for Exception to Deadline, Petitions for Exceptions to Graduation and requests for ACPL, Course Challenge, Grade Forgiveness, Underage Admission and High School Enrichment;
Attend meetings and conferences as a Student Records representative and make presentations on behalf of the department; and
Perform other duties as assigned.
Bachelor's degree from a regionally accredited college or university;
Advanced computer skills including proficiency in Microsoft Excel, Access, Word and PowerPoint; and
One (1) or more years of experience within higher education or related field.
Experience in a college/university Registrar's Office or closely related setting.
Experience with student management systems and/or related college/state database systems.
Familiarity with FERPA and student records privacy issues.
Columbia Basin College (CBC) serves the citizens of Benton and Franklin counties in Washington state with two-year associate degrees for transfer to a four-year university, and applied degrees for workforce employment. CBC also provides one-year certificates and basic skills for those pursuing a GED or high school diploma.
