Towson University is accepting applications for an Administrative Assistant II position. This position provides administrative support to the Director of Operations and Maintenance for Facilities Management (FM). Provides customer service for FM to the campus community by answering phones and responding to general inquiries regarding building matters. Additionally, provide administrative and clerical support to FM maintenance shops, trade shops, and professional staff. Involved in the auditing of shop material inventory and ensuring records are processed accurately. Assist in drafting or writing reports. Handles confidential matters related to policy and procedures for FM trade shops. Coordinate the asset management inventory in shops and assist trade shops in compliance mandates. Utilizes Maintenance Connection (MC) for automated work orders, run reports, develop written procedures on office practices. Participate in developing specialized reports for dashboard distribution and review.
Assists Director of Operations and Maintenance for FM with typing, editing and revising a variety of documents and materials. Proofread for grammatical and basic content errors. Converts rough copy and drafts to final version quality reports. Attend meetings as directed by Director of OM.
Works with various levels of Facilities’ administration to coordinate, assign and ensure work requirements are being completed in a timely manner. Involved in auditing the asset management inventory of shops material and track key assignments.
Supports office by using automated equipment such as networked computers and printers, copy equipment, voice, and electronic mail systems. Assists with reports and special projects. Maintains and keeps current the operational manuals, such as but not limited to COOP, Stormwater management, and other FM emergency procedures.
Answer phone calls, emails and voice messages from campus. Review the email@example.com mailbox routinely throughout the day. Coordinates work requested by other departments through the work control phases by processing various types of work orders.
Utilizes Maintenance Connection (MC) to process the various types of work orders and run specialized work order reports for Director of OM. Collect and prepare information to input into dashboard collection for external review of work order activities.
Assists in preparing and reviewing department budget by updating information and assisting with running reports.
Serve as backup to other financial transaction employees or work control staff when positions are vacant or absent.
Performs the other duties as assigned i.e., initiating departmental purchases (i.e. supplies, parking passes for vendors).
High School diploma or equivalent and three years of experience providing administrative support.
Ability to communicate effectively both orally and in writing.
Strong customer service skills and ability to handle multiple tasks simultaneously.
Experience drafting correspondence with the ability to add enhanced presentation effects.
Proficiency in Word, Excel, and Outlook.
Ability to work independently.
Experience in a Facilities Management environment.
Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.
A Criminal Background Investigation is required for the hired candidate and the results may impact employment.
Salary and Benefits
