Responsible for the coordination, scheduling and processing of all College check and Automated Clearing House (ACH) disbursements including student accounts refunds, financial aid refuds, Bookstore vendor payments, and College vendor payments. Coordination requires timely and effective communication within the Fiscal Office as well as with the appropriate departments while following the established internal control oversight related to review and signatory approval.
DUTIES AND RESPONSIBILITIES:
Verifies and electronically enters accounts payable invoices into BANNER Accounts Payable Module as well as the Commonwealth of Massachusetts's Accounts Payable system (MMARS).
Receives and reviews vendor invoices for accuracy, reviews check requests and other related documentation for completeness and compliance with financial policies and procedures; reconciles invoices and requests for payment with purchase orders; perform calculations to determine appropriate payment schedule and amount; makes modifications as necessary.
Follows up on account statements and potential payment discrepancies, serves as liaison between departments and vendors in the resolution of administrative problems and inquiries.
Ensures that potential early payment discounts are taken and all vendors are paid as required to ensure that late payment fees are not incurred.
Maintains logs, enters and balances account data; generates reports as required.
Monitors invoices and related documents for services that span fiscal years and are classified as Prepaid Expenses.
Monitors blanket purchase orders and periodically notifies departments of balances.
Composes correspondence to College departments and vendors related to Accounts Payable issues.
Enters local trust fund expenditures and revenues into MMARS system and reconciles to Banner monthly.
Verifies all pcard receipts to monthly statements, follows up on missing receipts with cardholders, tracks and reports monthly to Procurement Manager.
SALARY: $44,390.06 per year with fringe benefits. An appointment made from outside the bargaining unit (AFSCME) must start at this salary, step #1 of the range or as adjusted in accordance with the AFSCME collective bargaining agreement.

Applicants must have at least (A) one year of full-time, or equivalent part-time, professional experience in accounting or auditing, or (B) two years of full-time, or equivalent part-time, paraprofessional experience in accounting or auditing, or (C) any equivalent combination of the required (A) experience and the substitutions as specified in the state job specifications.
Thorough knowledge of accounting practices and procedures, primarily related to Accounts Payable as well as knowledge of state and regulatory compliance and generally accepted accounting principles required.
Knowledge of BANNER Student Financial Services/student payments Module, Evisions as well as Finance/Accounts Payable Module preferred.
Knowledge of auditable record keeping procedures.
Strong organizational, communication, interpersonal and problem solving skills.
Proficiency in Microsoft Office.
Demonstrated ability to work as a productive team member in a multi-tasked, time-sensitive environment
Detail oriented with excellent editing/proofreading skills related to financial reports, accounts, and ledgers.
Familiarity with Massachusetts Management and Accounting and Reporting system (MMARS) preferred.
Successful experience interacting with culturally diverse populations.
