Position Summary: The Director, Production Services manages all areas of the Production Department's print operation, including pre-production, digital printing, wide-format, bindery, electronic media, transportation, bulk mail and mail services. Develops and implements policies and procedures to ensure quality, timely and cost efficient production and customer-oriented services.
Manage and organize daily operations of various production groups on all three campuses. Determine job priorities in order to achieve maximum utilization of equipment and personnel; monitor supplies and schedule staff to ensure a smooth working environment
Supervise the daily shuttle to Beren and Cardozo from the Wilf print shop
Manage outsourced print relationships as required to service University production needs
Engage with all University consumers of print services to encourage additional use of the Print Production Departments resources
Responsible for coordinating with YUs HR Department to source additional staff when required and approved by the Chief Facilities and Administrative Officer (CFAO). No hiring, disciplinary action or terminations may occur without the concurrence of the CFAO
Oversee administrative staff who will create requisitions, purchase orders and handle departmental chargebacks
Set pricing and delivery terms for all printing orders handled by the department
Find substantive ways to reduce costs and increase revenues
Manage ordering of supplies, materials and the rental of additional equipment subject to existing vendor agreements where applicable and review and approval of the CFAO
Recommend vendors to be used for subcontracted work
In conjunction with university Procurement office negotiate price, quality, specifications, and production capability on copying and related services
Prepare budget and production reports. Prepare budget recommendations; monitor, verify and reconcile expenditures
Maintain records of work in progress for billing and departmental records; maintain file management system of completed jobs for easy retrieval for repeated use
Manage online job ordering system and train individual departments on its use
Develop and streamline operating systems and seek methods to improve services and reduce operating cost. Keep the University community informed of new services and changes in services
Develop and implement work procedures, establish quality standards and ensure quality standards are maintained
Confer with departments and advise regarding job specifications on requested work
Make recommendations to changes of policies and procedures
Manage various personnel actions including, appraisals, hiring recommendations, promotions, transfers, corrective discipline and vacation schedule
Mentor and manage student employees where appropriate
Conduct staff meetings as necessary to discuss open issues, changes in equipment changes in mail route configurations and postal regulations
Research new technology to determine long range, as well as short range, equipment needs and makes recommendation, participates in departmental planning
Experience & Educational Background:
Bachelors Degree required
3-5 years of related experience
An equivalent combination of education and prior related experience will also be considered
Skills & Competencies:
Knowledge of USPS Regulations, Policies and Procedures
Knowledge of supervisory practices and principles
Knowledge of budgetary procedures, fiscal projections and cost analysis
Knowledge of computer operations as it relates to digital printing and mail and publishing software
Knowledge of writing print specifications and production equipment and materials
Skills in coordinating and scheduling multiple projects
Interacts and proactively shares information with internal and external contacts where appropriate
Develops effective relationships with peers, students and employees
Assumes responsibility to ensure issues/concerns will be addressed and monitors them through conclusion
Seeks to apply technology and innovation to improve efficiency and solve problems
