The Department of Student Activities at the University of Connecticut announces two separate openings for a Technical Records Coordinator, UCP 3 position. One position is a 10-month appointment position with The Daily Campus and Nutmeg Publishing. The other position is a 12-month appointment with the Undergraduate Student Government (USG). These positions will assist these Tier III student organizations with the performance of all comprehensive financial recordkeeping functions; providing business and accounting services; and assisting with other Department functions as assigned.
DUTIES AND RESPONSIBILITIES
Responsible for one or more organization operations or services, which are recurring and necessary to the work of the organizations (e.g., accounts receivable, accounts payable, purchasing, personal service agreements, travel, billing, disbursements, refunds, receipts, deposits, budgets, inventories and other record-keeping systems), which requires knowledge of organization functions, policies and procedures as well as knowledge of record-keeping methods and procedures; follows up on details and resolves associated problems as needed.
Performs majority of functions in the payroll process from processing I-9 and payroll authorization forms to reviewing bi-weekly timecards and reconciliation.
In assigned area of financial and administrative responsibility, reviews records and data for accuracy, reconciles differences, balances books, compiles financial data, performs a comprehensive range of financial recordkeeping functions such as keeping journals and ledgers; schedules and produces routine financial reports on a monthly, quarterly, annually and ad hoc basis, including, but not limited to, Balance Sheet, Income Statement, Accounts Receivable Aging and statistical reports used to monitor or assess organization activities, programs, services or project future needs.
Develops procedures for and coordinates work between the organizations and vendors, which may include the evaluation of purchase orders, personal service agreements and contracts and the work done to meet the associated terms.
Serves as a resource to students, student organizations, staff and others on matters relating to the organizations’ financial information and organizations, Tier III and University policy and procedures as well as applicable state and federal law.
Routinely monitors the organization’s facility/space and serves as a liaison between the students and University administrators regarding facility maintenance as needed.
May assist with budget development and review under direction of student leaders in the organizations.
Participates in Department of Student Activities and Trustee Student Organization Support Programs, Services, and Initiatives meetings and professional development opportunities.
Develop and maintain relationships with Tier III student organization leaders and staff, TSOS staff, and University administrators.
May be asked to attend organization board meetings or department meetings.
Performs related duties as required.
Bachelor’s degree in accounting, business or related area or equivalent experience and training.
Two years full-time employment in bookkeeping, accounting or related area.
Demonstrated knowledge of accounting principles, financial recordkeeping systems and business practices including the ability to develop and apply policies and procedures.
Demonstrated attention to detail and the ability to be precise with quantitative data.
Demonstrated strong computer skills, specifically, Microsoft software applications: Outlook, Word, Excel and financial applications.
Demonstrated ability to work independently and regularly exercise judgment regarding financial detail and procedures, resolving problems of ordinary difficulty.
Strong interpersonal skills and demonstrated ability to and experience functioning effectively in a diverse and multi-cultural environment; ability to work effectively with students.
Demonstrated organizational, communication and customer service skills.
Willingness to work irregular and flexible hours; this position may work one night a week.
Experience with Quickbooks.
Experience with enterprise-wide financial systems; Kuali Financial Systems (KFS) and KFDM a plus.
Knowledge of procurement systems; HuskyBuy a plus.
Knowledge of payroll processing; experience with HuskyTime and/or Core-CT a plus.
Knowledge of or experience with print media.
Experience and familiarity working with college students and college student organizations.
The Daily Campus appointment is a full-time, permanent 10-Month position with an anticipated annual salary of $35,750 (which reflects prorating) with excellent benefits. The Undergraduate Student Government appointment is a full-time, permanent 12-Month position with an anticipated annual salary of $42,900 with excellent benefits.
