As Executive Assistant to the Chief of Staff to the President of Harvard University this role is a key member of the administrative team for the Office of the President. This position performs a wide range of duties to ensure daily operations are executed seamlessly within the Office.
The selected candidate will need to: develop effective systems and processes to ensure the proactive management of a highly complex schedule and calendar which will require prioritizing and reprioritizing of commitments as necessary; manage complex travel arrangements; review and research requests for the Chief of Staff's time and recommend alternatives; greet the Chief of Staff's visitors and guests in a welcoming and professional manner; ensure proper meeting room preparation, including catering on and off site.
The selected candidate will ensure that the Chief of Staff and key staff are fully briefed on commitments, the rationale for changes to schedule, and will prudently identify and resolve issues as applicable. The candidate will proactively seek and build key relationships across the University and develop organizational knowledge in support of the Office of the President and its initiatives.
Performs other duties as required to ensure the smooth operation and responsiveness of the Chief of Staff.
The incumbent must be a strong communicator effectively engaging with stakeholders with poise and grace. Extended work hours are required in this role. This is a 40-hour per week, non-exempt, confidential (excluded from union) position. Hours are 8:30 a.m. – 5:30 pm. M-F

Union: 99 - Non-Union, Confidential Non-Ex
Minimum of three years of administrative experience working with and supporting senior level, executive staff. Fluency in Microsoft Office applications (Word, PowerPoint, Excel, Access), plus Outlook. Well-developed writing, grammar, punctuation, and proofreading abilities, as demonstrated through an assigned writing test.
Work collaboratively, as needed, with the correspondence team on preparation of written correspondence. Ability to manage and prioritize multiple, time sensitive projects under tight deadlines. High level of independent judgment, discretion, confidentiality and attention to detail required. Strong interpersonal and communication skills necessary.
The President's Office is a highly visible and dynamic environment. As such, flexibility and a collected approach under pressure are needed as are experience handling difficult situations with tact and diplomacy.
