Led by the Associate Dean for Graduate Biomedical Education, the Office of Graduate Biomedical Education (OGBE) promotes innovation in graduate biomedical education and supports graduate biomedical education by managing key central functions, developing and implementing initiatives to promote diversity in graduate biomedical education, and ensuring a positive learning environment. OGBE is located within the Office of the Vice Dean for Education, which is part of the Johns Hopkins University School of Medicine (JHUSOM).
The Admissions and Academic Operations Officer will work closely with the Director of Academic Affairs & the Center for Innovation in Graduate Biomedical Education to manage central functions of the graduate biomedical programs and to promote excellence in graduate biomedical education.
The Admissions and Academic Operations Officer will work closely with the deans and staff within OGBE; program coordinators and program directors; and faculty, staff, and students from throughout JHUSOM; and other Johns Hopkins University (JHU) divisions.
Specific Duties & Responsibilities
Manage the Admissions process for graduate biomedical education (GBE):
Manage the central JHUSOM admissions function for graduate biomedical programs. This includes management of prospective students (marketing & recruitment), recruiting events, applicant experience and communication, support for program-based student selection processes, acquisition of post-selection information and surveys, and transfer of information into the student record to support accepted student matriculation.
Serve as JHUSOM expert on Slate or other admissions software; train program coordinators on software as needed; trouble-shoot challenges experienced by OGBE or program coordinators; and manage reporting functions during all phases of the admissions process.
Manage the workflow for application fees and fee waivers in Slate and SAP; collaborate with the Sr. Financial Analyst, the Administrator for Education, and the Divisional Business Office regarding setting application fees.
Serve as the liaison between JHUSOM and JHU concerning admissions, Slate, and other University efforts relevant to academic operations.
Compile and report on admissions and academic metrics, including but not limited to student demographics and the overall success of JHUSOM recruitment efforts.
Maintain admissions portion of OGBE website; ensure accuracy of web and marketing content.
Support Academic Operations:
With the Director of Academic Affairs & the Center for Innovation in Graduate Biomedical Education, implement strategies to support innovative, effective, and efficient processes to support JHUSOM GBE programs.
Serve as the liaison to the JHUSOM Registrar’s Office, ensuring the flow of accurate data from the admissions software and graduate programs to the Registrar, when relevant.
Serve as liaison between graduate program coordinators and OGBE; maintain accurate contact list; work with coordinators to identify common challenges; develop and implement strategies for training or sharing information among the coordinators.
Ensure student data systems, including New Innovations, are accurate and useful; serve as a resource for JHUSOM and graduate program leadership by querying graduate student databases as needed.
Collaborate with the Manager, Graduate Student Experience and Diversity to plan and implement specialized recruiting events.
Collaborate with the Manager, Graduate Student Experience and Diversity on Summer Internship Program (SIP) admissions.
Represent OGBE, JHUSOM, and JHU at internal and external meetings.
Supervise part-time Administrative Secretary; set priorities and goals; provide formal and informal feedback; coach, train, and mentor to achieve short- and long-term goals.
One (1) year of related experience
Additional education may substitute for required experience, to the extent permitted by the * JHU Equivalency Formula: 30 undergraduate degree credits (semester hours) or 18 graduate degree credits may substitute for one year of experience. Additional related experience may substitute for the required education on the same basis. For jobs where equivalency is permitted, up to two years of non-related college course work may be applied towards the total minimum education/experience required for the respective job. *
Knowledge of graduate biomedical programs
Experience providing technical or organizational development assistance
Experience with the NIH grant funding process
Experience with admissions software systems (Slate preferred)
Experience with SAP or similar financial management software
Experience in recruitment or admissions in a higher education setting
Experience working with website and marketing material design

Must be highly computer literate, with demonstrated facility to work with a variety of software systems

Demonstrated experience working positively and collaboratively with a wide range of stakeholders
Ability to work independently and as part of a team
