Assist the Director of Operations & Administration with the overall administrative and financial activities of Wharton Center, including preparing annual budgets, long-range financial forecasts (including operations, endowments, debt repayment and capital improvements), as well as monitoring current year finances to identify any financial issues. Assist the Director of Operations with Venue rental business, including fielding incoming venue rental inquiries, assisting with venue promotion & sales as well as financial recaps for venue rental, business activity.
Prepare and update the annual comprehensive master budget (currently in Excel) for Wharton Center incorporating planned presenting, education activities and related funding sources, and departmental recommendations for changes in operating revenues and expenses. With the Director of Operations, encourage effective communications about financial planning, leading to strategic and proactive decision-making through both line item and functional (lines of business) analysis. Rely on and/or update multiple subsidiary budget files (presenting proformas, Institute for Arts and Creativity program files, personnel salary and fringe projections, etc.). Verify the integrity of the master budget file (consistency of assumptions across multiple departments, formula/data accuracy, etc.). Assist Department Directors with updating Department budgets, reviewing changes and monitoring status of proposals requiring Executive Director approval. Serve as the ‘budget expert’ with detailed knowledge to answer budget questions throughout the year. Assemble budget books for MSU Admin and WC budget managers. Provide Development staff with specific budget documents required for grant applications.
Perform financial and operation recaps of venue rental events. Review rental event billings for accuracy prior to invoice.
Assist Finance Department with monthly income statement analysis comparing actuals to budget. Periodically prepare year-end projections reports, Monitor and/or update long-range projection files for endowments, capital improvement needs, and bond debt repayment schedules.
Arrange travel for Wharton Center staff and assist with out-of-pocket reimbursements.
Assist Director of Operations & Administration with various HR, Operations and facility administrative duties.
Unit Specific Education/Experience/Skills
Knowledge equivalent to that which normally would be acquired by completing a four-year degree program in accounting or finance with relevant course work in business administration; six months to one year of related and progressively more responsible or expansive work experience in accounting, auditing or financial analysis; or an equivalent combination of education and experience.
Knowledge of the Performing Arts, Arts Management or live entertainment business, customer service and computer literacy with Microsoft Office products, especially Excel. Self-motivator with ability to work both independently and collaboratively, exercise good judgment and prioritizes work accordingly to meet critical deadlines. Listens and responds well to questions; actively participates in team discussions.
