D uties of a Senior Administrative Assistant may include the following but are not limited to:
Answering high volume phones, making appointments, and checking in patients
Insurance authorizations for audio and speech
Patient complaint resolution
Outside purchasing requisitions and credit card orders
Monitoring food and supplies for swallowing evaluations and order when needed
Managing front desk coverage with requests for vacation and call ins
Ensuring front desk staff are performing responsibilities and following P&P
Order tracheoesophageal prosthesis and keeping track of money spent - informing Department Head and Purchasing if additional funding needs to be added to the requisitions
Cochlear implant surgery authorizations - send medical documentation to the CI Company and F/U to ensure approval prior to surgery - s cheduling mappings post-surgery
Cochlear implant upgrade authorizations - writing a letter of medical necessity and forwarding information to the company
Monthly and quarterly statistics for speech and audio for Vizient
Update Speech and Hearing website
Update all speech and hearing forms
Speech and audio forms replenished in clinic, front desk and waiting room area
Ensure that wait room is clean and organized
Annual update of policies and procedures on line
Annual property control equipment update
Annual chemical inventory update
Management of the speech therapy schedule including obtaining authorizations and monitor NS/CS rate for speech therapy
Enter in Cerner approved time off and reschedule patients
Enter and submit status change forms
Master appointment schedule changes
Participation in quality improvement and dashboards - includes analyzing data
Schedule interviews for students and candidates for positions
Required Qualifications : Associate's degree and at least 4 years of relevant experience in a medical office answering high volume phones, making appointments, triaging calls, and insurance authorizations or a Bachelor's degree and at least 1 year of relevant experience in a medical office answering high volume phones, making appointments, triaging calls, and insurance authorizations. Relevant experience must include direct patient contact and some dealings with physicians and their staff.
Preferred Qualifications: 1 or more years of medical office supervisory experience. 2 or more years of experience performing higher level office tasks such as managing staff activities, purchasing medical supplies, data entry for statistical analysis. Proficiency in Microsoft PowerPoint. Bilingual in English and Spanish. Experience training staff in a high volume phone office.
