Allied Health - Staff/Administrative, Staff/Administrative
Responsible for clinic operations, safety and revenue. Responsible for the operations and daily supervision of personnel in an outpatient clinic. Responsible for assuring the smooth flow of patients and paperwork, managing the administrative staff, managing the revenue cycle and refining operations to improve patient, family provider and employee satisfaction.
Specific duties & responsibilities:
Create and maintain an environment that promotes the safest possible standards, methods and operations to assure the safety of patients and employees. Identify, study and recommend solutions for clinical service problems. Coordinate yearly PPD’s and Flu vaccines for all employees. Update OSHA Manual and perform yearly OSHA training for HAzCom, Bloodborne Pathogens, Fire Safety, Violence in the Workplace and HIPAA training.
Supervise and set standards for daily productivity. Work with the Medical Director to communicate, manage and develop policies and procedures for the clinical operation. Respond to patient and employee suggestions and complaints, in conjunction with the Medical Director and Nurse Manager.
Manage the process for maintaining adequate staff. Secure and coordinate training of employees as needed in conjunction with the clinical trainer or team leaders. Forecast staff needed by new physicians / additional offices. Manage the process for review of overtime / compensatory time to improve staffing utilization. Manage the process for yearly evaluation of staff members.
Coordinate with the Nurse Manager and Medical Director as needed on issues of patient care. Serves as liaison between the clinical staff and the physicians
Participate with financial administrators in developing and managing the budget for JHH clinical revenue and JHU professional fees. Manage the clinic within standards of compliance for JCAHO and JHU billing practices.
Oversee the JHH and JHU clinical revenue cycle. Develop timely accurate reports and projections. Monitor on a month to month basis and report variances. Take corrective action when necessary. Develop a process for financial clearance and counseling for patient. Assure that all authorization paperwork is retained and forwarded to appropriate billing staff.
Manage the process for ensuring the required resources are available for clinical operation. Manage the process for ordering inventory and maintaining clinical supplies. Manage the process for maintaining physical facility and equipment.
Manage installation and training for all clinical IT systems. Develop skills in Epic, OCIS, Eclypsis, Keane, IDX and other clinical related systems.
Perform other projects and duties as related to the practice and clinical department objectives.
Bachelor’s degree required. Minimum of three years related experience. Requires an understanding of changing reimbursement policies and third party reimbursement. Previous supervisory experience required. Additional education may be substituted for years of related experience and additional experience me be substituted for years of education.
Special knowledge, skills, and abilities:
Knowledge of ENTAA Cares practice, policies and procedures to assess, plan, implement, and evaluate work flow needs.
Knowledge of medical equipment and instruments to administer patient care.
Knowledge of principles and practices of employee development to train, delegate and mentor staff in conjunction with the clinical trainer.
Knowledge of common safety hazards and precautions to establish a safe work environment.
Knowledge of medical safety practices and requirement to evaluate existing standards and implement new procedures
Skill in identifying problems, and researching and recommending solutions.
Skill in preparing and maintaining records, writing reports, and responding to correspondence.
Skill in developing and maintaining department quality assurance.
Skill in exercising high degree of initiative, judgment, discretion and decision making.
Skill in establishing and maintaining effective working relationships with patients, medical staff, and the public.
Ability to maintain quality control standards.
Ability to supervise the members of a health care team.
Ability to work with all departments and personnel levels.
Ability to react calmly and effectively in emergency situation.
Ability to interpret, adapt and apply guidelines and procedures.

Technical qualifications or specialized certifications:

Requires full range of body motion including handling and lifting patients, manual and finger dexterity and eye-hand coordination. Requires standing and walking for extensive periods of time. Occasionally lifts and carries items weighing up to 100 pounds. Requires corrected vision and hearing to normal range. Requires working under stressful conditions or working irregular hours. Requires some exposure to communicable diseases or bodily fluids.

During the Influenza ("the flu") season, as a condition of employment, The Johns Hopkins Institutions require all employees who provide ongoing services to patients or work in patient care or clinical care areas to have an annual influenza vaccination or possess an approved medical or religious exception. Failure to meet this requirement may result in termination of employment.
The pre-employment physical for positions in clinical areas, laboratories, working with research subjects, or involving community contact requires documentation of immune status against Rubella (German measles), Rubeola (Measles), Mumps, Varicella (chickenpox), Hepatitis B and documentation of having received the Tdap (Tetanus, diphtheria, pertussis) vaccination. This may include documentation of having two (2) MMR vaccines; two (2) Varicella vaccines; or antibody status to these diseases from laboratory testing. Blood tests for immunities to these diseases are ordinarily included in the pre-employment physical exam except for those employees who provide results of blood tests or immunization documentation from their own health care providers. Any vaccinations required for these diseases will be given at no cost in our Occupational Health office.
