Job Description Summary
The Grants Coordinator B will be responsible for the preparation, review and submission of sponsored program proposals for submission to sponsors. Will function as a resource for sponsored program guidelines, policies and procedures. Will support monthly Principal Investigators budget meetings, start up tracking and wayward journal review. The individual will also assist the Grants Manager in preparing and reconciling monthly BEN/Business Object reports, prepare and enter journal entries and other financial transactions with BEN Financials, Concur and PennWorks. Will provide financial monitoring and reporting for sponsored programs including foundations, federal and other agencies. Post award duties include award set up and management for financial and regulatory compliance, meeting regularly with investigators for expense reporting and projects, and processing reports and transactions, including subcontract activity from start to close out.
Under limited supervision, the Grants Coordinator will support the grants manager across multiple divisions within the Department of Medicine. This will include producing and/or managing financial reporting; assisting in proposal preparation, developing budgets, monitoring expenditures; monthly reporting; identifying incorrect transactions, preparing the documentation necessary for corrections, and data entry of the correcting transaction; updating and distributing internal reports; serving as backup for purchasing, check requests and payroll. This position reports to the grants managers and senior administrator within the Department of Medicine and has a dotted reporting line to PSOM Office of Research Support. Services.
The Grants Coordinator B is expected to generate specialized reports for clinical trials and complicated program projects; develop budgets, monitor expenditures; identify incorrect transactions and take corrective action; reconcile and distribute internal reports. The coordinator will be responsible for monthly payroll processing and serve as backup for purchasing and accounts payable.
Bachelor's Degree and 2-3 years experience or equivalent combination of years and experience required.
