Administrative Coordinator, Engineering Research Accelerator-2013523
The Accelerator, part of the College of Engineering, provides integrated, coordinated, and college-wide services for research acceleration, incubation, and support. This includes research administration, corporate partnership, funding opportunities, business support, and more. The Accelerator enables continuous assessments of current research activities, while also identifying and encouraging high-potential, cross-cutting, and emerging research directions to maintain the College's competitive edge.
Our College of Engineering's Research Accelerator is searching for an Administrative Assistant. This is an excellent opportunity if you thrive in an interesting and challenging work environment. You will provide essential administrative support for the Research Accelerator staff, while developing a welcoming and inclusive environment in the reception area. You will coordinate administrative and secretarial/clerical assistance for the areas of responsibility of the external relations group of the Accelerator. Work requires significant knowledge of the policies, procedures and organization of the Research Accelerator and the departments in the College of Engineering, as well as ability in specialized areas such as coordinating and managing special event details, complex itineraries, building and maintaining databases and preparations of reports. You will be responsible for answering phones and greeting visitors in the main office during normal business hours of 8:30 a.m. to 5:00 p.m.
Core responsibilities include:
Staffing front desk and Accelerator coverage as needed, tracking and ordering office supplies
Receiving and directing phone calls, messages, mail and packages; make appropriate referrals to other offices or resources and follow up to ensure resolution as needed; and receive and direct visitors to the Office of the Associate Dean of Research.
Producing and assembling regular reports and summaries. Frequently required to respond directly to inquiries and requests regarding these reports
Maintaining multiple staff calendars, making travel arrangements, processing expense reimbursements, coordinating staff meeting scheduling and agenda, taking meeting minutes and preparing meeting summaries
Supporting written correspondence to include editing and proofreading. Developing and procure flyers, posters and presentation materials
Serving as departmental desktop support liaison, managing general office equipment maintenance and facilities requests
Participating in training, workshops, committee involvement, and general campus engagement
Providing event support including room reservations, catering, facility services and technology needs; and provide support for projects as needed
Coordinating various clerical aspects of programs or projects, i.e., data collection, mass mailings of reports or newsletters, circulating journal submissions, project deadlines, commencement, lecture series, travel arrangements, etc.
Providing general information regarding undergraduate and graduate programs such as, advisors, admissions process, faculty contacts, required courses, etc.
High-school or GED required
3-5 years of Administrative Support Experience required
Higher education experience preferred
