1) The Administrative Specialist will coordinate the administrative needs of the faculty, fellows, and staff for the Section of Nephrology in the Department of Medicine.
2) Independently coordinate the administrative needs of the Section and Faculty. Function as specialist on projects assigned by Section Chief and Section Administrator.
3) Coordinate activities of Chiefâ™s involvement with professional organizations, maintain daily calendar, travel arrangements, and perform conflict resolution when necessary.
4) Assist faculty with preparation of non-technical aspects of grant and contract submissions (e.g. budgets, biosketches).
5) The Administrative Specialist works directly with the Section Chief and Section Administrator in planning recruitment schedules for faculty and staff candidates and functions independently to develop and facilitate the plans.
6) Recruitment of new faculty members in particular requires meticulous attention to detail and considerable independence in identifying appropriate times for candidates to visit and in arranging interviews, travel accommodation and proper reimbursement.
7) Administratively manage weekly conferences.
8) Coordinate with fellows and Section leadership on each week's invited speaker/presentations. Distribute announcements.
9) Develop CME credit guidelines and solicit necessary materials from weekly speakers, ensure compliance with guidelines and update CME office with each week's seminar participants.
10) Perform ongoing assessments of office organization and functions, advise the Section Chief and Section Administrator of deficiencies in office systems and operations (e.g. technical support and allocation of financial resources), and recommend solutions. Involvement with development of Departmental information systems.
11) Maintain and update service schedule and paging directory for faculty and fellows.
12) Manage accounts payable and reimbursements for Section and official visitors.
