POSITION OVERVIEW The Financial Associate is involved in the day-to-day operations of the Business Office, with a primary emphasis on the payroll and accounts payable functions of the office. HSA prides itself on the fact that it is almost a 100% student run organization. Any candidates for the role must enjoy working in a teaching environment as this role will regularly provide hands-on experience to the CPO and student managers, all of which are undergraduate students of Harvard University. TYPICAL CORE DUTIES Payroll
Responsible for the full scope of accurate and timely, beginning to end, bi-weekly payroll processing for all agencies of the company.
Manage the processes for on-boarding new hires into ADP, entering personnel changes, personnel transactions, completing employment verifications; maintaining employee files, F1 files, employment verifications, and background checks.
Work in conjunction with the CPO on a new onboarding process implementation, train payroll managers in proper onboarding, and co-lead weekly check-in meetings.
Oversee the maintenance of current employee data systems, ensure all payroll information and records are maintained in accordance with statutory requirements.
Prepare and review payroll account reconciliations and bi-weekly payroll file entry into the general ledger system.
Ensure compliance with all applicable federal and state laws and policies and with statutory reporting and periodic filing requirements.
Work on special projects, audits, mandatory notices and compliance reporting and other administrative duties as needed.
Provide accurate, timely processing and disbursement of accounts payable invoices and reimbursement forms
Maintain correct, updated, and complete accounts payable records
Ensure proper approval and posting of accounts payable transactions to the general ledger.
Assist as needed in accounts receivable payment processing
Assist students with Business Office related questions and in other functions and duties as assigned

Candidates MUST meet the following basic qualifications in order to be considered for this role:
Minimum of two years of Payroll and Human Resources or administrative experience
Prior experience with ADP Workforce Now or a similar payroll system
Bachelor's degree preferred
Proficiency in Excel, Word, Outlook
Strong communication skills, both written & verbal
Detail oriented with a high level of accuracy
Flexible and able to prioritize workload based on urgency and importance.
Friendly and easygoing with the ability to work well in a small office environment
Knowledge of Solomon (Microsoft Dynamics) a plus
