Preferred Qualifications: Master's Degree (foreign equivalent or higher). Additional years (4+) in a business/administrative environment. Experience in healthcare or research setting. Experience with drafting and writing reports, setting up meetings and teleconferences. Experience with grant writing or technical writing. Knowledge of the WTC Health Program.
Brief Description of Duties: The administrative staff assistant reports to the Director of Administration. The Incumbent will be working on projects identified by Directors to improve functionality of our overall organization. These will be high level projects & require analytic skills, ability to deal with data & propose solutions. The incumbent must be able to take on a variety of projects and meet deadlines. Capable of understanding and interpreting data and formatting data charts for reporting purposes. The Administrative Staff Assistant must always act with a high level of professionalism and able to handle confidential information. They must be highly organized and analytic, able to manager multiple time-sensitive projects.
Working on projects that focus on operational improvements across the organization. Assessing problems, working with stakeholders, compiling facts and data, proposing solutions and summarizing problems, analysis, insights, plan and outcomes for the Directors.
Preparing and writing business reports including doing research and compiling data for the reports. Keeping calendar of all deliverables and organize process for timely submission.
Review, write and format Standard Operating Procedures: work with committee to keep an organized process and organize materials for quarterly submission to funding agency.
Plan and organize meetings, create agendas, take minutes, keep record of meetings.
Manage Outlook calendar/email, and other tasks as assigned.
