ADMINISTRATIVE ASSISTANT TO THE DIRECTOR , Microsystems Technology Laboratories (MTL) , to perform complex and diverse duties in support of the director and leadership team. Will assist with the coordination of multiple programs and projects, including MTL's international and industry collaborations and advisory board meetings; plan and coordinate numerous high-profile events (e.g., preparing guest lists; coordinating agendas; developing menus; handling other logistics with vendors; and engaging faculty, students and researchers across multiple areas); schedule diverse and complex appointments, meetings, and travel; prepare complex itineraries for multiple constituents, including developing visitor agendas and managing VIP visitor detail; assist with the general preparation for external sponsor visits, including managing all interactions with the Microsystems Industrial Group (MIG); organize executive seminars; coordinate special requests and arrangements; and plan the IAB annual meeting. Responsibilities also include assisting the administrative officer with project management of lab-wide processes, including the creation and maintenance of databases, defining and managing membership criteria for mailing lists, performing communications tasks such as proofreading and content coordination and creation, and providing explanations/solutions on a range of inquiries/issues on MTL activities/functions.
REQUIRED : five years' administrative, office, or related experience; high school diploma; excellent organizational, customer service, and time-management skills; meticulous attention to detail; initiative; willingness to continually develop new skills; and proficiency with Microsoft Office. Must be able to multitask, manage and follow through on competing priorities/projects, and meet deadlines; work independently and as part of a team; communicate effectively; work with faculty, staff, students, guest, and visitors; and execute sound judgment. PREFERRED : bachelor's degree; experience with SAP, FileMaker Pro, Cognos, and QuickBase; familiarity with PCs and Macs; and experience updating websites. Job #17847-6
