Position Summary and ResponsibilitiesThis position provides administrative assistance in the Dean of the Faculty Office and shared support for the Grants Office. The Administrative Assistant works primarily with the Assistant Dean for Academic Administration in matters relating to faculty records and reviews, appointments, forms, posting, schedules, student course evaluations, annual activity reports, scanning, and filing. This position interfaces with the chair of the Faculty Appointments and Salary Committee (FASC) on matters relating to faculty reviews.
Additional responsibilities will include:
Limited administrative assistance to the Learning, Teaching and Research Center (LTRC) and (in summer) to non-science academic departments and programs;
Submitting work orders, tracking grant expenditures, ordering supplies, processing reimbursements, financial recordkeeping, assisting with mailing/shipping, helping to schedule travel, reserving rooms, and arranging events.
Other duties as required.
Qualifications Qualifications: Two to four years of administrative support experience and/or training. Strong computer skills are required including proficiency with Microsoft Word, Microsoft Excel, e-mail and internet browsers; familiarity with Google's suite of tools, Moodle, Perceptive Content, Banner and Workday proficiency preferred. Must be open to learning new software as needed. Excellent written and verbal communication skills and telephone manner are essential. Requires the ability to interact effectively with a diverse community of faculty, students, staff, and visitors. Must have a professional, problem-solving demeanor and good judgment and discretion, including the ability to maintain confidentiality. Strong organizational skills, including the ability to effectively manage deadlines and multiple, competing priorities required. Must be able to work independently and prioritize appropriately.
