Provide highly skilled coordination and management of the administrative operations for the Office of the Vice President for Student Affairs. Serve as a valuable and engaged team member for Student Affairs. Responsible for daily office management, assist with budget preparations and hearings, daily correspondence and meeting scheduling, managing special projects, assist with special events such as convocation and commencement, exercise initiative and independent decisions and supervision of departmental student support staff. Provide support for Senior Associate Vice President, Director and Associate Director as well as other VPSA office staff when needed. Position will report to Director for Planning, Assessment and Student Success.
1. Coordinates and manages the administrative operations for the Office of the Vice President for Student Affairs. Management of the reception and front office. Hire, supervise and train student support staff. 2. Performs routine secretarial and clerical tasks including organization, answering phones, filing, typing, office supplies and errands for the Senior Associate Vice President, Director of Planning, Assessment and Student Success, Associate Director for Marketing and Special events, and other staff within the VPSA office as needed. 3. Arranges meetings, coordinates calendars, and prepares agendas and other formal and confidential correspondence. 4. Prepares budgets and manages accounts and financial transactions in UT Share including but not limited to procurement cards, travel, processing of payments, purchase orders and reimbursements. Manage budget transfers, payment of invoices and reconciliation of accounts for commencement and convocation and other accounts as needed. 5. Preparation of spreadsheets and reports including but not limited to tracking of gift reports, financial transactions, diversity report and Division newsletter. 6. Assist with convocation, commencement, Student Service Allocation Hearings, and other special projects including room reservations, coordination of food, RSVPs, and other event/project logistics. 7. Respond and resolve student concerns and questions. Manage the email@example.com email account. Bring urgent issues to supervisor’s attention. 8. Serves as administrative liaison with other departments within Student Affairs on campus and outside organizations and agencies concerning administrative policies, procedures and practices. 9. Performs other duties as assigned.
High school diploma and one (1) year of related experience. Must be proficient in all areas of work performed. Ability to use usual office equipment.
Bachelor’s degree. Two to three (2-3) years of experience or equivalent experience. Must be proficient in all work areas of work performed. Ability to use usual office equipment. Knowledge of UT Share.
