Rutgers, The State University of New Jersey is seeking a Secretary I for the Department of General Surgery at the Rutgers Robert Wood Johnson Medical School.
The Secretary I position provides secretarial and administrative services for the Colorectal Section Chief in the Division of General Surgery while coordinating clinical duties for scheduling surgical procedures.
Among the key duties of this position are the following:
Prepares various correspondence and reports including maintaining CV and other academic paperwork.
Maintains Outlook calendar for academic meetings and surgical procedures.
Completes purchase orders, travel and check requests.
Completes renewal application for hospital reappointment privileges, licenses and certifications.
Maintains up-to-date balances for attending’s timesheet accrual balances.
Schedules patient operations in conjunction with insurance pre-certification and/or paperwork. Must be able to work with other surgeon's schedulers and coordinate with multiple services.
Finalizes EMR patient letter dictations and completes the editing, printing and mailing.
Minimum Education and Experience:
Graduation from an accredited program in secretarial studies, plus four (4) years of full-time secretarial experience required.
An additional year of experience is required in lieu of the secretarial program.
College credits may be substituted on a year-for-year basis for secretarial experience. Up to sixty (60) credits may be substituted for two (2) years of secretarial experience.
Required Knowledge, Skills, and Abilities:
Proficiency in typing and experience with word processing packages.
Experience with additional software packages as required by the department.
Demonstrated interpersonal skills.
Physical Demands and Work Environment:
Standing, sitting, walking, talking or hearing. No special vision requirements. Carrying materials (calendar and OR scheduling forms) up to 25 lbs. for office hours.
