Rutgers, The State University of New Jersey is seeking a Program Support Specialist for the Pharmacology Department at the Rutgers Robert Wood Johnson Medical School.
The primary purpose of the position is to provide executive level (confidential, administrative and managerial) support to the Chair of the Department of Pharmacology. The Program Support Specialist is responsible for the coordination and management of the RWJMS Pharmacology department office and functions as the principal liaison between the faculty, divisions and administrative offices of Rutgers, Robert Wood Johnson Medical School. This position manages specific projects, assigned by the Chair, with great attention to detail and adherence to timelines, prepares reports, supports research programs, and manages websites and databases. The Program Support Specialist prioritizes responses to inquiries and provides resolution, where applicable. This position demonstrates initiative, and exercises discretion and responsible independent judgment, with decision making responsibility under the direction of the Chair.
Among the key duties of this position are the following:
Assists with strategic planning, and development of new programs and priorities, and in the administration of ongoing programs and activities.
Supports the Chair relative to administrative responsibilities, including scheduling, travel arrangements, expense reimbursements, requisitions, professional correspondence, faculty hiring, appointments, reappointments, promotions, evaluations, resignations, departmental evaluations and grant activities when applicable.
Maintains calendar for the Chair.
Coordinates events and projects, correspondence and communications/announcements.
Creates, updates and maintains department web pages and ensures accuracy of the information.
Responsible for correct and timely submission of the department's payroll biweekly timesheet, recording and ensuring accurate balances of time off accruals, sick time and personnel information.
Independently handles projects as assigned, including marketing and media programs, recruitment activities, guest speakers, departmental events, faculty meetings and administration of foundation gifts.
Minimum Education and Experience:
Bachelor’s Degree in Business Administration, Social Science or a related field, plus two (2) years of professional administrative experience.
Equivalent experience, education and/or training may be substituted for the education requirements.
Required Knowledge, Skills, and Abilities:
Excellent interpersonal and communication skills.
Proficiency in Microsoft Excel and Office suite products.
Ability to embrace changes and new ideas.
Must be able to manage multiple projects simultaneously.
Physical Demands and Work Environment:
Standing, sitting, walking, talking or hearing. No special vision requirements. Lifting up to 25 lbs.
