Registrar for the School of Medicine (SOM) in the Division of Medical Education. The unit services over 540 medical (graduate level) students and provides annual enrollment services to 500 medical students, 60 SOM Ph.D. students and 100+ UC San Diego undergraduate students (enrolling in SOM elective courses).
Serves as a member of the senior management team in the Admissions & Student Affairs unit of the Division of Medical Education. Assists in the development of short-and long-term strategic planning. Develops goals and implements plans and establishes operating procedures for the Registrar services area, in keeping with the School's and the Division's goals. Interprets, executes and recommends modifications to unit policies as well as develops innovative approaches, techniques and procedures to provide more efficient and responsive services.
Translates and enforces relevant federal, state, University, American Association of Medical Colleges, National Board of Medical Examiners' policies, procedures, regulations and practices. Certifies degrees for purposes of licensure for 2,500 SOM alumni and for alumni of affiliated medical degree programs. Working independently under general supervision using professional Registrar student record based concepts, applies a level of breadth and depth with student record and service delivery practices, policies, and regulations.
Bachelor's Degree in related area; and/or equivalent experience/training.
A minimum of three (3) or more years of relevant experience.
Thorough knowledge of policies, regulations, and practices with student records services. Knowledge of federal and state laws as they apply to student records, privacy, access and services, including the Family Educational Rights and Privacy Act of 1974 (FERPA) and Americans with Disabilities Act (ADA).
Strong problem identification, critical thinking, and problem solving skills; judgment and decision-making ability. Ability to assess processes and implement improvements.
Excellent written and verbal communication skills. Active listening skills. Proven customer service orientation. Strong interpersonal skills.
Thorough knowledge of particular Registrar core functions (e.g., degree requirements, special enrollment, veterans' benefits, and residency).
Demonstrated knowledge of advising and counseling techniques.
Proficient ability to use complex databases. Expert knowledge of Microsoft applications and Windows environments. Ability to use PC software for word processing, spreadsheets, and database management.
Superb organizational skills and ability to prioritize work and meet deadlines. Ability to work effectively to meet deadlines with frequent interruptions and changing priorities.
Ability to work effectively in a team environment, communicating openly and effectively with colleagues and staff, sharing experience and expertise with others, inspiring others to professional excellence.
Extensive knowledge of UC academic policies and procedures that apply to student records and services.
Previous experience with National Student Loan Database Enrollment Reporting.
Strong ability to establish and maintain cooperative relationships with campus departments, UC campuses, and external agencies.
Knowledge of the structure, culture, and mission of higher education institutions; knowledge of campus departments, their activities, and the impact of curriculum changes.
