JobSummary/Essential Job Functions: Under the direction of the AssistantDirector, this position manages and provides administrative direction andsupport for the day-to-day operations within the General Internal Medicine(GIM) Division. Ensures that faculty and staff are in compliance with theUniversity, various funding agencies, regulations, procedures, and guidelines.Assists with grants and College of Medicine (COM) support dollars.
Serves as administrative support to GIM faculty and staff while monitoring and instructing them on Collaborative Institutional Training Initiative (CITI) training, Health Insurance Portability and Accountability Act (HIPAA), purchasing, time management, and other University policies and procedures to ensure adherence.
Arranges, schedules, and coordinates meetings, conferences, and events for faculty and other entities locally, nationally, and internationally.
Maintains relationships with various community organizations, agencies, and hospitals and communicates with various campus units to remain current on policies, procedures, and opportunities for the Division.
Provides high-level support by using iMedRIS for IRB approval for studies and eVisions for grant submission and contracts.
Coordinates all matters regarding grants and contracts: Processes department transfer vouchers for grant accounts and ensures all grant-related processes are in compliance with UT Fiscal research and sponsor policies.
Prepares, monitors, and reconciles grant budgets and College of Medicine (COM) supported resources for (GIM). Enters and routes budget information and monitors contracts.
Assists faculty with grants and contracts close-outs. Requests carryover and no cost extensions for grants. Prepares documentation for audits by grant sponsors and fiscal matters.
Manages facility issues as they relate to the Divisions.
Monitors payments for contracts and maintains audit trails. Ensures electronic payment of invoices and justification of sole sources services through Sponsor Projects, Research Administration, and Purchasing.
Orders supplies and equipment for GIM; prepares travel requests, travel arrangements, and petty cash and other reimbursements; processes invoices; enters monthly and biweekly time; and tracks inventory and space.
Coordinates learning sessions for the Medical Students, Patient Safety and Quality Improvement curriculum, and for the Graduate Certificate Program in Health Care Quality.
Performs other related duties as assigned.
