The Executive Assistant will provide administrative support to two Senior Vice Presidents in Hospital Administration. He/She will actively manage the SVP schedules, handle communications, coordinate special projects and provide cross coverage to support other Executive Assistants in Hospital Administration. The job demands excellent organizational skills, problem-solving ability and a poised and professional demeanor.

Perform various clerical duties to contribute to the smooth operations of the SVPs office
Efficiently manage all aspects of the SVPs schedule on an ongoing basis.
Assist and participate in special projects.
Answer assigned phone lines and directs calls; use correct telephone techniques and procedures when receiving and making calls; cross-covers other lines as assigned.
Prepare/produce documents including memos, correspondence, reports, presentations, and manuals as required, ensuring complete process.
Exercise independent discernment and initiative in prioritizing, scheduling, and organizing appointments, meetings, and conferences
Provide routine administrative support, including procurement of office supplies, equipment maintenance, shared calendar management, petty cash and reimbursement processing
Coordinate meeting schedules and logistics, as well as gather and prepare necessary supporting documents and materials
Participate in meetings for the purpose of minute preparation
Arrange rooms, equipment, and catering for all meetings
Manage the filing and organization system for the office
Order, maintain and distribute office supplies
Bachelors Degree strongly preferred
5 years of dynamically responsible administrative support experience, including supporting a senior-level executive
Proficiency with various software packages to manipulate and manage data, including Microsoft Office (Word, Excel, PowerPoint, Outlook) and Internet Research
Experience in using and managing online survey tools (Survey Monkey, Doodle Poll, etc.)
Recognized interpersonal and organizational skills along with a strong self-confidence
Excellent written and speaking skills
The ability to be dedicated, work independently and use good judgment #LI-POS
