The Division of Development and Alumni Relations is dedicated to advancing the mission and vision of RIT. Detailed Job Description
Position Summary Responsible for essential operations for the Division of Development and Alumni Relations including financial compliance and internal controls; project/gift account management; and contract workflow. Generates and analyzes monthly and adhoc reports and recommends to leadership continuous improvement initiatives based on report outcomes. Included in these responsibilities are assisting the Financial Operations Director with special financial oversight for the Joseph M. Lobozzo Alumni House. Reports to the Director of Financial Services and provides primary coverage for key operations as a backup to the Director of Financial Services. The Division of Development and Alumni Relations operates with an $12 Million budget and a staff of 100 people generating 7000+ financial transactions annually.
Generates and analyzes monthly and adhoc reports including financial; facilities; human resources; and national benchmarking. Prepares recommendations to leadership for the division's continuous improvement initiatives based on report analysis.
Interfaces directly with end users to develop, implement and administer internal control processes for the division related to operational activities such as procurement card and travel expense reports; Oracle account management; financial and human resource transactions and records retention.
Develops strategies for the division's project/gift accounts and works closely with account administrators for creating and monitoring annual spending plans. Generates account reports and prepares journal entries for administrators and leadership.
Prepare purchase requisitions ensuring compliance with RIT procurement policies including bid requirements, submission of exception to bidding forms, etc.
Serves as the division's contact for contract workflow including contract review with campus partners; contract database management; and monitoring renewals and expirations of multi-year contracts.
Provides primary coverage for key operations as a backup to the Director of Financial Services.
Mentor administrative staff on financial operations when needed
Develops and administers staff training related to financial, human resources, compliance and internal control processes.
Required Minimum Qualifications
Minimum 3 years of progressive experience in a financial or operations setting Minimum 3 years of experience analyzing financial and operational data Bachelors degree required: Business, Accounting, Organizational Development, or related field Advance level user of Excel and demonstrated experience with Microsoft Windows applications Demonstrated knowledge of Oracle or other financial accounting system Experience or aptitude toward analyzing work flow processes, diagnosing redundancies, identifying current technologies with emphasis toward improving work productivity Familiarity with survey design and basic research methods Effective written and oral communications Excellent organizational and customer service skills
