The Academic Records and Registrarâs Office is seeking a Student Advisor to counsel and provide a range of services covering registration, transcripts, verifications, degree progress, petitions, transfer credit services, and diplomas. The selected candidate must have excellent verbal and written communication skills. This is a dynamic department, with ongoing in-person student contact â including responding to phone and email inquiries. Proven analytical and policy interpretation experience in an academic environment are essential to this position. The advisor liaises with other offices on behalf of students to facilitate problem resolution. Candidates with student services counseling experience are encouraged to apply.
The Student Advisor provides exemplary first-tier customer service. This role will counsel or advise prospective students and families on registration requirements. Intervene with university central student services as necessary to connect prospective students with the right staff member or department in order to facilitate the application process. Advise on matters of curriculum, course and degree requirements, transfer credit evaluation, and graduation counseling and clearance. Evaluate student problems, academic, administrative or personal, and refer student to appropriate student services office for additional counseling.
The selected candidate will be expected to maintain academic unit student records and coordinate registration activities, grading, degree progress, enrollment and degree verification, and transcripts with other units in the USC Office of Academic Records and Registrar. The Student Advisor will report to the Assistant Registrar.
Primary Responsibilities Include:
Assist students with registration matters (add/drop/time conflicts, hold overrides), including requests for additional units and other special circumstances
Counsel students seeking to take courses away from USC, provide information on transfer equivalencies, and policies governing transfer credit.
Conduct enrollment of visiting, limited status students
Process transcript requests, verification requests, and answer general records inquiries
Counsel students on the process of registration-related petitions
Distribute diplomas to university graduates
Assist students with questions regarding academic requirements. Help students understand the STARS degree audit and other services within the OASIS student portal
Provide general information to students regarding graduation clearance and processes
Excellent customer service skills.
Proven experience in disseminating a high level of information related to policies, procedures, and functions of the USC Registrarâs Office
Ability to communicate complex information both verbally and in writing
Use discretion with confidential or sensitive information
Excellent interpersonal skills
Ability to make personal judgments about the complexity of studentsâ issues and determine the best course of action for serving our students, faculty, staff, parents, and campus partners
Ability to quickly assess complex issues and provide timely and appropriate solutions
Enjoy extensive contact with students and other university constituents
