The Administrative Assistant in the Office of the Vice President for Student Affairs serves as the first point of contact for the office, greeting all walk-in traffic, answering phone calls, managing administrative processes, and providing customer service for a variety of functional areas. S/he services as a primary (and often first) representative for the Office, and is a crucial link to the Student Affairs staff, University administrators and their staff, and other individuals and entities both internal and external to the University. Reporting to the Administrative Officer and overseeing student employees, the Administrative Assistant has additional duties that include but are not limited to:
Front Desk and Office Management
Serves as the primary front-desk representative of the Division of Student Affairs Office of the Vice President, receiving visitors and calls of all types, including current students, parents, GU faculty and staff, external constituents, and distinguished guests.
Provides program, procedural, and directional information, referring to other offices/departments as appropriate.
Manages the receipt and distribution of mail and packages for Leavey 5th floor occupants, as well as Facilities management for the floor, including work requests.
Oversees supply, inventory management, and ordering.
Oversees student employees, including hiring, training, scheduling, and time sheet management.
Maintains the front desk manual and other associated materials, ensuring information is current and relevant.
Maintains the cleanliness and professional appearance of the front desk area, manages floor meeting spaces, and maintains the kitchen area and equipment.
Oversees office opening/closing procedures, being knowledgeable of the whereabouts of the floor occupants and conducting light cleaning as necessary.
Maintains all Xerox and other printers on Leavey, coordinating with UIS as needed.
Oversees the administrative support for the Administrative Officer, Associate Vice President & Dean of Students, and the Vice President for Student Affairs.
Coordinates all outgoing FedEx shipments and creates expense reports.
Manages event planning support including space reservations, catering orders, and AV arrangements.
Office of Student Conduct Support
Serves as the primary contact for visiting investigators seeking information on student conduct files.
Receives and processes investigator requests.
1-3 years of experience in a professional office environment
Excellent organizational skills, combined with strong communication and writing skills
Ability to prioritize work with strong attention to detail
Demonstrated flexibility in a dynamic work environment
Familiarity with Google and Microsoft Office suites with excellent interpersonal skills
Ability to handle sensitive and/or confidential information, situations, and interactions
Ability to perform light to moderate physical activity
Familiarity with GMS/Workday
Familiarity with WordPress
