Job Requisition Number: 27363. The Center for Jewish Studies is a diverse and interdisciplinary campus unit administered through the Arts & Humanities Division in the College of Letters & Science. Both the graduate and undergraduate academic programs emphasize this interdisciplinary agenda. PhD students can apply to the faculty committee to pursue a ‘Designated Emphasis in Jewish Studies’ in addition to their primary doctoral subject. Undergraduates in any department can choose a ‘Minor in Jewish Studies’ in addition to their major field of study. The Center also sponsors an annual series of Endowed Lectures, and hosts visiting faculty who augment both course offerings and public lectures. Close collaboration with several affiliated institutions serves to enhance programming through co-sponsorship and outreach to a broad audience around the Bay Area.
The Magnes Collection of Jewish Art and Life was established in 2010 following the transfer of the Judah L. Magnes Museum to the University of California, Berkeley. Its remarkably diverse archive, library and museum holdings include art, objects, texts, music, and historical documents about the Jews in the Global Diaspora and the American West. As one of the world's preeminent Jewish collections in a university setting, it provides highly innovative and accessible resources to both researchers and the general public.
Development and other Administrative Tasks: •Assist Faculty Director with Development and Outreach. •Annual newsletter (creation, editing, printing, mailing, etc.). •Draft Semi-annual appeal letter. •Draft letters of thanks and acknowledgment. •CADS reporting. •Assist Director in coordinating with other units of Jewish Studies on campus. •Supervise Security Officer.
General Administration and Human Resources: •Supervises a small staff of support employees and/or students. •Responsibilities for mail, main email address, and main phone line. •Supplies inventories. •Maintains calendar of internal and external events; coordinate staff calendars, schedule staff meetings. •Monthly email newsletter (Mailchimp) and Marketing coordination (website, flyers, e-blasts, UC event calendars, press, invitations) •Website management and content updates. •Liaison on behalf of staff (including IT help requests), •Management of job searches and hires, on-boarding of staff, students, volunteers, etc.
Finances & Budget: •Takes lead in developing annual budget submission for CJS and Magnes, working closely with division budget officer and faculty directors. •Develops and prepares complex budgets with multiple funding sources for grants, general appropriations, and endowments for Magnes. •Provides guidance and recommendations to Magnes senior leadership on budget priorities relating to unit strategic planning, staffing, programming, and other activities. •Oversees accounting and budget functions for Magnes, including compliance with federal and UC regulations. •Coordinates fiscal close for units, analyzing units’ financial status to ensure that there are no deficits at year-end. •Liaises with Divisional Budget Officer on commitments and reorganizations. •Maintains chart of accounts for units. •Performs recharge administration. •Manages gifts and donations, which may be complex because of the Magnes Museum (i.e., in-kind gifts and collections). •Drafts newsletters and correspondence to organizational constituents and donors. Assists with fundraising duties; writes and proofreads copy for the annual appeal and other donor relations.
Facility Operations, Purchases, and Special Events: •Maintain and update all facility and operations guidelines and documentation. •Schedule special events. •Purchases (Bear Buy, Amazon, all others). •Invoicing and payment of Contractors/Vendors including contracts and payments (photography; catering; designers*; web management; framers*; conservation; off-site storage*; climate control log services*; database contract and services; web hosting etc.) •Supplies (office and collections).•Thorough knowledge or ability to learn of University rules and regulations, processes, protocols and procedures for budget, account and fund management, personnel management. •Thorough knowledge of financial analysis and reporting techniques, human resources policies and procedures for staff and academic employees. •Knowledge of a variety of administrative operations activities such as events planning, basic fundraising processes, risk management planning, website design, accounting and payroll, and contracts and grants regulations and guidelines. •Knowledge or ability to learn of common University-specific computer application programs. •Interpersonal communication skills to include verbal and written, active listening, critical thinking, persuasiveness, advising and counseling skills. •Strong skills in short term planning, analysis and problem-solving and customer service. •Ability to take initiative and be strategic, while maintaining multiple priorities. •Participate in the development of standard operating procedures and guidelines.
Education/Training: •Bachelor's degree in related area and/or equivalent experience/training.
